About The Position

The Receptionist is responsible for handling general organization phone calls, managing the reception area at the corporate office, and communicating with the public in a manner that positively reflects the image of the organization. This role involves managing front entrance operations, operating the telephone switchboard, answering general questions, handling package deliveries, maintaining updated information, overseeing meeting room scheduling, ensuring neatness of reception and waiting areas, providing front desk security, serving as a communication point for facility issues, and performing other related duties. The position also includes specific responsibilities for both morning and afternoon shifts, such as opening/closing the office, providing meeting support, creating signage, ordering supplies, and coordinating deliveries. The Receptionist is expected to contribute to a positive work environment, demonstrate sensitivity to diverse populations, uphold the organization's mission and values, and stay current on job-related issues.

Requirements

  • High School diploma, GED, or equivalent required
  • Prior switchboard or customer service experience preferred

Responsibilities

  • Manage front entrance operations, including greeting visitors, answering inquiries, and coordinating visitor meetings with appropriate employee(s)
  • Operate telephone switchboard: answer calls promptly, route calls, take messages, and monitor voicemail
  • Answer general questions that are asked about the organization
  • Handle the incoming/outgoing package deliveries to the front, mail, and front desk dropoffs
  • Maintain updated information on employees, programs, and reception procedures
  • Oversee meeting room scheduling for all CHS meeting spaces within the system
  • Maintain neat spaces at reception desk, waiting area, and nearby meeting rooms
  • Provide oversight of front desk security and assist with emergency procedures
  • Serve as communication point for reporting facility problems and arrangements to appropriate person
  • Perform other duties related to department goals and projects as needed
  • Assist other departments with projects or events as time allows while maintaining the reception area
  • Open office at the start of the business day
  • Provide set-up and support for meetings such as new hire orientation and executive meetings
  • Create signage for visitors, new employees, and other meeting groups if needed
  • Place orders for supplies for front desk and orientation
  • Coordinate orientation lunch
  • Close office at the end of the business day
  • Provide cleanup and support for meetings
  • Order and coordinate delivery of business cards and name badges
  • Order and coordinate delivery of floral arrangements as needed
  • Contribute to a positive, engaging work environment.
