Requirements

Responsibilities

  • Warmly greeting visitors, clients, and guests as they arrive at the office or facility, creating a positive first impression and directing individuals to the appropriate person or department.
  • Managing incoming phone calls, screening and forwarding them to the appropriate individuals or departments, providing information, taking messages accurately, and ensuring prompt responses to inquiries.
  • Handling various inquiries from visitors, clients, and employees, providing information about the organization, its services, and its policies. Receptionists may also assist with scheduling appointments, arranging meetings, or directing individuals to the relevant resources.
  • Receiving and distributing mail, packages, and deliveries, ensuring that incoming correspondence reaches the appropriate recipients in a timely manner. Additionally, they may assist in drafting or formatting routine documents, letters, or emails.
  • Keeping the reception area tidy and presentable, managing visitor sign-in processes, issuing visitor badges, and maintaining a log of visitors. They may also coordinate with other departments for maintenance, repairs, or supplies needed for the reception area.
  • Providing administrative support to various departments as needed, which may include data entry, filing, photocopying, scanning, and other general administrative duties.
  • Collaborating and communicating with other employees, departments, or external contacts to ensure efficient operations and excellent customer service. They may also assist with coordinating meetings, events, or travel arrangements for staff members.
  • Performing other duties that may be assigned.
