About The Position

Hart House is a vital center for experiential education at the University of Toronto, fostering connections through arts, dialogue, and wellness programming. Operating from a historic facility and a 150-acre farm, it utilizes a social enterprise model to support student-focused initiatives. The Warden's Office directs Hart House's strategic vision, governance, business activities, and external representation, focusing on inclusivity, student exploration, experiential learning, community engagement, and resource stewardship. Strategic Initiatives within the Warden's Office supports the Hart House Strategic Plan through implementation, assessment, special projects, policy development, grant writing, and accessibility initiatives, collaborating across departments and with external partners.

Requirements

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum five years in an administrative or project coordination role preferably in a post-secondary setting, with experience supporting complex, multi-stakeholder projects in a co-curricular and service-oriented environment.
  • Experience supporting processes related to committees or governance activities, including preparing or coordinating documentation.
  • Experience supporting or coordinating arts-based programs, events, or initiatives.
  • Experience assisting with grant or funding proposal preparation, including drafting and coordinating supporting materials.
  • Experience supporting program assessment or evaluation activities, including data collection, organization, and basic reporting.
  • Demonstrated ability to coordinate work effectively in busy, deadline-driven environments with multiple stakeholders.
  • Demonstrated experience working within anti-racist, Indigenous and intercultural frameworks.
  • Excellent oral and written communication skills and the ability to create, compose, edit written materials.
  • Excellent presentation, interpersonal and organizational skills and the ability to exercise initiative, creativity, and attention to detail.
  • Excellent planning and project management skills.
  • Ability to exercise patience, and to demonstrate tact, judgment and discretion.
  • Ability to work both independently and collaboratively within a team environment in a busy, deadline-oriented workplace.
  • Demonstrated ability to work effectively in a highly diverse University community and to organize, motivate and work constructively and cooperatively with a variety of internal, campus and community groups.
  • Experience working with community partners and cultivating community partnerships.
  • Demonstrated commitment to principles of equity, diversity and inclusion in all collaborative work practices.
  • Strong knowledge of the diverse Indigenous traditions, values and cultural protocols; along with an understanding of services and resources available at the University of Toronto.
  • Knowledge of educational issues/barriers (e.g. educational history, funding access) and wider community concerns (i.e. housing, family concerns, economic).
  • Awareness of campus systems and organizations, and the University’s policies and procedures as they relate to student life.
  • Proficiency with MS Office, including Outlook, Word, Excel and PowerPoint and CoPilot; project management software (e.g., Asana); online survey and assessment software, design software and programs (e.g., Canva); and other digital platforms.
  • Knowledge and experience supervising, engaging and mentoring casual and student staff.

Nice To Haves

  • Project Management Professional (PMP) certification.
  • Experience working within Indigenous communities with strong knowledge of Indigenous worldviews, culture and values.

Responsibilities

  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Determining actionable items based on the review of applicable information
