About The Position

The Project & Office Coordinator plays a dual role in supporting both project delivery and day-to-day office operations. This position partners closely with Project Managers, regional leadership, and administrative teams to ensure projects are executed efficiently while maintaining a well-organized and high-functioning office environment. This role is ideal for a highly organized, proactive professional who thrives in a fast-paced environment, enjoys balancing multiple priorities, and can confidently support both technical project teams and local office needs.

Requirements

  • Associate’s degree in a related field or equivalent professional experience required
  • Minimum of five (5) years of demonstrated experience in document control and project controls, preferably within a design or engineering firm environment
  • Intermediate to advanced proficiency in Microsoft Office (2013 or later) and PDF software required
  • Proficiency with traditional project controls systems, databases, and methodologies required
  • Strong verbal and written communication skills with the ability to collaborate effectively across teams
  • Exceptional time management and organizational skills, with the ability to manage multiple priorities

Nice To Haves

  • Bachelor’s degree preferred
  • Experience supporting pharmaceutical, biotechnology, or advanced technology projects preferred

Responsibilities

  • Support Project Managers in planning and executing design and construction projects of varying size and complexity
  • Coordinate activities between internal teams and external partners, including architects, engineers, contractors, and vendors
  • Serve as a key point of contact for project stakeholders, facilitating communication and ensuring alignment
  • Assist in managing project documentation, schedules, and coordination efforts to support successful delivery
  • Participate in both office-based and on-site project activities
  • Partner with Team Leaders and administrative staff to support daily office operations
  • Coordinate facility-related needs including maintenance, vendor management, office equipment, and space planning
  • Support office meetings and events, including logistics, scheduling, and preparation
  • Provide administrative support to office leadership, including calendar coordination and ad hoc requests
  • Process invoices and track office-related expenses as needed
  • Manage multiple priorities while maintaining strong attention to detail and organization
  • Serve as a reliable point of contact for both project and office-related needs
  • Foster a positive, collaborative office environment through strong communication and teamwork
  • Exercise sound judgment and problem-solving skills in a fast-paced, dynamic environment
