About The Position

The Executive Office Project Coordinator plays a critical role in supporting the daily operations of the executive office, ensuring a seamless, professional, and welcoming experience for leaders, employees, and visitors. This role sits at the intersection of front-of house excellence and executive operations, partnering closely with Executive Committee (ExCom) leaders and ExCom Executive Assistants (EAs). This individual brings a high level of organization, discretion, and proactive coordination— anticipating needs, managing competing priorities, and enabling an efficient and polished executive environment in support of Medtronic’s Mission. Requirements

  • Minimum of 4 years’ Experience in administrative, receptionist, or executive support roles
  • Proactive & Organized: Effectively manages multiple priorities with strong attention to detail

  • Discretion & Professionalism: Maintains confidentiality and represents the executive office with a high level of professionalism and polish

  • Technically Proficient: Comfortable with scheduling tools, phone systems, and Microsoft Office (Outlook, Word, Excel, etc.)

Responsibilities

  • Serve as the first point of contact for the executive office, creating a professional and welcoming environment reflective of Medtronic’s culture and values
  • Partner with security to coordinate guest arrivals and provide executive-level hospitality, including escorting visitors as appropriate
  • Maintain continuous situational awareness of workplace safety and security conditions. Proactively identify potential risks, escalate concerns to appropriate stakeholders, and coordinate with facilities, security, and leadership teams to support a safe and secure environment as needed.
  • Maintain a highly organized, secure, and polished reception area
  • Manage and update the executive reception electronic billboard
  • Support ExCom and EA operating rhythms, including weekly distribution schedules and tracking attendance for recurring meetings (e.g., weekly ExCom meetings)
  • Manage restricted conference rooms with timely request processing and proactive weekly confirmations to meeting owners
  • Provide flexible support for team communications, mailings, and ad hoc requests
  • Process expense reports with accuracy, timeliness, and in compliance with company policies
  • Support purchase order (PO) processing in partnership with ExCom EAs
  • Resolve expense-related discrepancies with a resourceful, solutions-oriented approach
  • Maintain office supply inventory, ensuring materials are current, organized, and readily accessible
