About The Position

The Project Coordinator supports the successful execution of mechanical service and construction projects by coordinating project activities, facilitating communication among internal and external stakeholders, and completing administrative and operational tasks efficiently. The role works collaboratively with project managers, field personnel, customers, vendors, and administrative teams to support project objectives and maintain organization throughout the project lifecycle.

Requirements

High school diploma or GED.
Advanced-level experience using Accubid, Microsoft Project, and Bluebeam.
Familiarity with local municipal jurisdictional procedures related to plan reviews, permitting, applicable codes, and inspections.

Responsibilities

Assist with the coordination and administration of mechanical construction and service projects.
Maintain project documentation, including contracts, submittals, RFIs, change orders, meeting minutes, and closeout documents.
Support project scheduling, procurement, and material tracking activities.
Coordinate communication among project managers, field teams, customers, subcontractors, and vendors.
Prepare project reports, job cost updates, and other project-related documentation.
Track project milestones, action items, and deliverables to support on-time completion.
Assist with invoicing, purchase orders, and project billing processes.
Respond to customer inquiries and coordinate project-related requests.
Maintain accurate project files and records in accordance with company standards.
Promote safety, collaboration, accountability, and continuous improvement.
