About The Position

We are seeking to add a local Project Administrator to our growing and talented high-end custom home division, Phillip Wentzel Custom Homes. This position requires the individual to be highly organized and work independently in a fast-paced environment. The Project Administrator will support the Residential Construction division by providing administrative and project coordination assistance throughout all phases of construction.

Requirements

  • Previous administrative experience in construction or project coordination preferred
  • Strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite
  • Ability to manage multiple projects and deadlines in a fast-paced environment

Responsibilities

  • Solicit and coordinate bid proposals from subcontractors
  • Assist with subcontractor onboarding, including obtaining certificates of insurance and required documentation
  • Utilize Viewpoint software for project administration tasks, including: Issuing subcontracts and purchase orders, Processing and issuing change orders, Tracking and maintaining project documentation, Following up on submittits and outstanding items
  • Organize and maintain drawing logs, specifications, and project files
  • Coordinate and schedule division meetings
  • Print construction drawings and revisions for subcontractors
  • Prepare and distribute project notices, updates, and communications to subcontractors
  • Support Assistant Project Managers, Project Managers, and Superintendents with administrative and coordination tasks throughout the construction process
  • Maintain accurate project records and ensure documentation is up to date
  • Assist with tracking project timelines, deliverables, and subcontractor communications
  • Help ensure projects remain organized and compliant
  • Perform other duties and functions as assigned
