About The Position

This individual’s primary focus will be to assist with project management duties. They will oversee and perform administrative functions which may include calling contractors, making appointments, ordering supplies and preparing reports.

Requirements

  • Must be extremely organized and focused
  • Must have strong leadership capabilities and be able to quickly adapt to changing work demands
  • Must have the ability to answer the telephone professionally and speak clearly
  • Strong written and verbal communication skills
  • Strong Microsoft Office skills
  • Professional demeanor and customer focus skills
  • Ability to multitask and be well organized.
  • Epicor Prophet 21 or similar ERP experience.
  • Must adhere to all safety and housekeeping policies and guidelines.
  • Frequently required to sit, bend, reach, grab and twist
  • Frequently required to stand, walk, stoop, kneel and crouch
  • Frequently required to use hands to finger, handle or feel, reach with hands and arms and talk or hear
  • Strong problem-solving skills and the ability to make sound decisions
  • Strong ability to interpret and process data
  • Specific vision abilities required for this job include close vision, color vision, and the ability to adjust and focus
  • Frequently required to type, process information, and use fine finger manipulation
  • Strong process improvement skills.
  • Strong written, verbal, and interpersonal skills.

Responsibilities

  • Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
  • Answer phones & transfer calls to the requested person
  • Receive incoming mail & packages
  • Coordinate meetings and take minutes
  • Maintain compliance regulations and licensures
  • Assists with project management and sales projects as assigned.
  • Contributes to team effort by accomplishing related results as needed.
  • Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
  • Maintains telecommunication system by following instructions for the company phone system and console operation.
  • Maintains a safe and clean reception area by complying with procedures, rules, and regulations.
  • Maintains documentation necessary for closing projects.
  • Monitors job installation schedule to check for preparedness
  • Manages the submission of new projects from sales areas.
  • Ensures all necessary documentation is completed, signed and returned to customers in timely manner.
  • Manages all document signature requirements through Docusign.
  • Organizes and establishes the setup of new projects following set standards.
