About The Position

Mott MacDonald is looking for an Project Administrator/Assistant PM to join our dynamic team in Toronto. In this role, you will support the successful delivery of projects across a range of sectors including transit and transportation, built environment, energy, and water. Working closely with Project Managers and multidisciplinary teams, you will assist with project coordination, commercial management, stakeholder engagement, schedule tracking, and project reporting while contributing to the continued growth and success of our business. You will also have opportunities to develop your project management capabilities while support the Project Manager, and contribute to Mott MacDonald’s commitment to excellence, innovation, and collaboration.

Requirements

  • 4-6 years of project coordination, project management, consulting, or infrastructure-related experience, preferably within transportation, transit, buildings, energy, or water projects.
  • A Bachelor's degree in Project Management, Engineering, Business, or a related discipline, or equivalent relevant experience.
  • Experience supporting the delivery of multidisciplinary projects and working within project teams.
  • Understanding of project management principles, including planning, scheduling, risk management, budgeting, and project controls.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • An interest in project financial performance and contract administration.
  • Ability to build and maintain positive working relationships with colleagues, clients, contractors, suppliers, and other stakeholders.
  • Strong written and verbal communication skills, with the ability to communicate effectively with both technical and non-technical audiences.
  • Proficiency in Microsoft Office applications and familiarity with project management tools and reporting systems.

Nice To Haves

  • Membership with PMI or a related professional organization is considered an asset.
  • CAPM, PMP, or other project management certifications are considered assets.
  • Experience working with infrastructure clients or public sector organizations in the Greater Toronto Area is considered an asset.

Responsibilities

  • Support Project Managers in delivering projects on time, within budget, and to client expectations.
  • Assist with project planning, coordination, monitoring, and reporting activities throughout the project lifecycle.
  • Work closely with project and commercial teams to support project controls, contract administration, and adherence to change management processes.
  • Help identify, track, and monitor project risks, issues, and opportunities, and assist in the implementation of mitigation strategies.
  • Support the maintenance of project schedules, including coordinating schedule updates with multidisciplinary teams and monitoring progress against key milestones.
  • Assist the Project Manager and Design Manager with stakeholder engagement activities, including meeting coordination, documentation, and tracking actions and decisions.
  • Prepare project status reports, dashboards, presentations, and other documentation to support project governance and decision-making.
  • Support commercial objectives by tracking project performance metrics and helping ensure timely delivery of required reporting and project information.
  • Contribute to a strong health, safety, and wellbeing culture.
