About The Position

The People Operations Coordinator plays a key role on the People Team, focusing on delivering a smooth, professional, and welcoming experience for candidates throughout the recruiting and onboarding process. This position manages all stages of the candidate journey, from initial contact and interview scheduling to travel coordination, onsite visits, and onboarding preparation. By ensuring an efficient and positive process, the People Operations Coordinator helps strengthen the organization’s reputation as an outstanding place to interview and work.

Requirements

  • Minimum of 1 year of experience in recruiting coordination, HR coordination, or a related fast-paced environment, preferably in a startup or corporate setting.
  • Experience working with various calendar tools to manage complex scheduling needs.
  • Excellent verbal and written communication skills, with a strong focus on professionalism and clarity.
  • Solid computer skills, including proficiency in MS Office applications such as Word, Excel, and Outlook.
  • Current knowledge of video conferencing tools such as Zoom and WebEx.
  • Experience with applicant tracking systems (ATS), with Greenhouse ATS preferred.
  • Background in talent acquisition, human resources, or HR coordination.
  • Strong customer service mindset and ability to provide a positive candidate experience.
  • Proven ability to coordinate and manage scheduling in a high-volume, fast-paced environment.

Nice To Haves

  • Experience in a startup or manufacturing environment is beneficial.
  • Familiarity with Workday or similar HR systems is an advantage.
  • Ability to support and refine recruitment processes and onboarding programs.
  • Strong organizational skills and attention to detail in managing multiple candidates and tasks.
  • Ability to work independently while collaborating effectively with cross-functional teams.
  • Comfort with attending and organizing recruiting events, including career fairs and networking activities.

Responsibilities

  • Manage all stages of the candidate experience, including initial outreach, interview scheduling, travel coordination, onsite visits, onboarding preparation, and onboarding.
  • Schedule candidate interviews in a timely and organized manner, including phone, video, and onsite interviews and site visits.
  • Provide candidates with an excellent experience by sending welcoming communications and following up with hiring team members to ensure candidates move through the process smoothly.
  • Coordinate all candidate travel logistics, including flights, hotels, and car services, and manage expense reimbursement as needed.
  • Attend and/or arrange off-site recruiting events, such as career fairs and networking events, as needed to support talent acquisition efforts.
  • Continuously refine and implement an outstanding onboarding experience for every candidate, ensuring a seamless transition from candidate to new hire.
  • Independently handle all recruiting- and onboarding-related administrative tasks, maintaining accurate records and documentation.
  • Continuously improve recruiting and onboarding processes to optimize candidate experience and maximize internal efficiencies.
  • Collaborate closely with multiple levels of the business to align interview scheduling, candidate communication, and onboarding activities with team needs.
