About The Position

The People & Culture Admin Assistant will be the go-to person for day-to-day office and facilities needs, while also providing administrative support to the People & Culture team. This role will help create a great in-office experience for employees. This position requires exceptional attention to detail, adaptability, and a friendly, service-oriented approach when working with staff at all levels. The ability to manage your time effectively in a hybrid work setting is also essential. This hybrid role is expected to work from the West Los Angeles, CA office a minimum of 3 days per week.

Requirements

  • Excellent verbal and written communication skills with a strong customer service orientation.
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency in Google Suite (Gmail, Google Docs, Google Sheets, Google Calendar, etc.).
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive, collaborative, and adaptable approach to work.
  • Comfortable coordinating with vendors and managing hands-on office/facilities tasks.

Nice To Haves

  • No prior HR experience required. Candidates with an interest in HR/People Operations, or prior office administration experience, are encouraged to apply.
  • Startup or fast-growing company experience (a plus).

Responsibilities

  • Serve as an accessible and welcoming point of contact for our distributed team, both online and in the office, helping to direct team member questions to the appropriate individual or resource within the P&C department.
  • Provide administrative support to the P&C team, including drafting communications, creating templates/SOPs, coordinating schedules, data entry, preparing trackers/reports, and any ad hoc special projects.
  • Coordinate with IT to track/order office equipment and to set up and troubleshoot office tech.
  • Help plan and execute employee engagement initiatives and internal communications.
  • Identify and suggest process improvements and new ideas to make the office and administrative operations more efficient and enjoyable for everyone.
  • Take on other administrative projects and initiatives as assigned.
  • Serve as the primary point of contact for office needs, including requests for supplies, equipment, mail/shipping, and vendor coordination (cleaning, maintenance, building management, etc.).
  • Maintain common areas (kitchen, conference rooms, lobby) to keep the office organized and stocked.
  • Coordinate logistics for office celebrations, meetings, and employee events.
  • Track and order office supplies and equipment within budget.
  • Welcoming office visitors and managing sign-in procedures
