About The Position

A Patient Service Specialist II is responsible for accurately completing EPIC registration for each patient, verifying and updating demographics, screening for insurance eligibility, and scanning correct insurance cards. They also handle patient reminder calls, assist with phone inquiries, schedule, reschedule, and manage appointments. This role involves performing scheduling for walk-ins, generating no-show letters, scheduling follow-up appointments, referrals, and ancillary services based on provider orders. Additionally, they manage ON Base Patient Documentation, transcribe orders, enter referral orders, complete prior authorizations, collect copays and coinsurance, and reconcile daily deposits.

Requirements

  • High school diploma or equivalency (GED)
  • Previous Medical Office experience preferred.
  • Strong organizational skills and ability to prioritize tasks
  • Strong interpersonal skills and ability to work with a wide variety of individuals.
  • Ability to identify and solve problems independently.
  • Excellent in verbal and communication skills.
  • Excellent Customer Service skills.

Nice To Haves

  • Associate degree in healthcare administration or equivalent college coursework preferred.

Responsibilities

  • Accurately completes EPIC registration for each patient, verifying and updating demographics, screening for insurance eligibility, and scanning correct insurance cards.
  • Offers SPN Sliding Fee application and ensures acknowledgement is signed for Self-Pay patients (Primary Care Only).
  • Ensures E-sign Consent for treatment and insurance authorization is completed if due.
  • Performs Patient reminder calls and reviews requests to cancel or reschedule appointments.
  • Handles live calls for appointment reminders with a goal of decreasing unused appointment slots daily.
  • Greets patients and answers phones in a kind, courteous tone.
  • Assists patients with scheduling and rescheduling appointments.
  • Creates inbox messages as needed to assist patients, including refill requests for medication.
  • Demonstrates competence in identifying RED words.
  • Performs Scheduling for Walk Ins.
  • Generates no show letters through EPIC.
  • Schedules follow up appointments, referrals, and ancillary services as directed by EPIC provider orders.
  • Returns phone messages and assists patients.
  • Distributes land line faxes to appropriate Clerical and Clinical Teammates.
  • Completes appropriate referral work ques.
  • Ensures Patient receives AVS (after visit summary).
  • Completes work notes as directed by provider.
  • Collects copays and coinsurance as applicable at Check out or Check in.
  • Completes standard work for daily deposit and reconciliation.
  • Manages ON Base Patient Documentation Application.
  • Transcribes orders/Enters Referral Orders.
  • Schedules Incoming referrals by practice protocols.
  • Completes Prior Authorizations as required.
