About The Position

The Operations Coordinator is responsible for providing organizational and administrative support to the operations team, ensuring smooth day-to-day activities within the company. This role involves coordinating production schedules, overseeing inventory management, monitoring workflows, and liaising between different departments to maintain operational efficiency. The Operations Coordinator will also assist in the development of process improvements and work to ensure that all operational goals are met in a timely and cost-effective manner.

Requirements

  • Minimum of 2-3 years of experience in operations, logistics, or supply chain roles.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and prioritize effectively.
  • Experience in coordinating production schedules, managing inventory, and supporting logistics.
  • Excellent communication and interpersonal skills, with the ability to work effectively with cross-functional teams.
  • Analytical and problem-solving skills, with the ability to identify process inefficiencies and suggest improvements.
  • Strong attention to detail and accuracy in managing operational data and documentation.

Nice To Haves

  • Bachelor’s Degree in Business Administration, Operations Management, Supply Chain, or related field (preferred but not required).
  • Additional certifications in operations, logistics, or supply chain management are advantageous.
  • Proficiency in Microsoft Office Suite, especially Excel, and experience with ERP systems (e.g., SAP, Oracle) is preferred.

Responsibilities

  • Coordinate daily production schedules, ensuring all materials, equipment, and labor are properly allocated to meet production goals.
  • Track and monitor the progress of production processes, addressing any delays or bottlenecks to ensure smooth operation.
  • Collaborate with production teams and supervisors to communicate changes to production plans as needed.
  • Assist with inventory control by tracking stock levels of raw materials and finished products.
  • Coordinate with the procurement team to ensure timely reordering of materials and supplies to prevent production delays.
  • Perform regular inventory checks and work with the warehouse team to ensure accurate inventory records.
  • Coordinate incoming and outgoing shipments, ensuring on-time delivery of materials and finished goods to customers or other company facilities.
  • Liaise with transportation and logistics providers to ensure timely dispatch and receipt of goods.
  • Prepare shipping and receiving documentation, and manage transportation schedules for both domestic and international shipments.
  • Identify opportunities to improve operational processes, suggesting and implementing changes that can enhance efficiency, reduce costs, and optimize workflows.
  • Assist in developing new operational procedures and updating existing protocols to streamline operations.
  • Maintain accurate and up-to-date operational records and reports, including production, inventory, and logistics data.
  • Generate regular performance reports to provide insights into key operational metrics such as production output, inventory levels, and shipping performance.
  • Work closely with the management team to analyze data and develop strategies for improving operational efficiency.
  • Act as a liaison between the operations, procurement, warehouse, and sales teams to ensure all departments are aligned and working toward common operational goals.
  • Provide support and communication to other departments to address and resolve operational challenges in real-time.
  • Support project management efforts related to operations, including coordinating tasks, monitoring timelines, and ensuring project objectives are met.
  • Assist the customer service team with order tracking, status updates, and resolving any logistical issues that could affect customer satisfaction.
  • Provide timely and accurate responses to internal and external stakeholders regarding production schedules and order fulfillment.
  • Ensure adherence to safety standards and protocols across all operational activities.
  • Support the safety team in implementing and maintaining health and safety programs in the workplace.
