About The Position

The Operations Administrator serves as a central administrative resource for Atwood Management’s Operations Department, supporting both Rental Management and Community Association Management. This role owns the recurring administrative processes that keep our portfolios organized and moving forward—from licenses, registrations, inspections, notices, and renewals to documentation, records management, and compliance tracking. By taking ownership of these process-driven responsibilities, the Operations Administrator allows Property Managers and Community Association Managers to focus on managing properties, communities, clients, residents, homeowners, and performance outcomes.

  • Professionalism when communicating with residents, homeowners, municipalities, vendors, and coworkers
  • A process-oriented mindset and motivation to create order, consistency, and reliable systems

Nice To Haves

  • Property management, community association management, real estate, compliance, or administrative experience is a plus but not required.

Responsibilities

  • Track licenses, registrations, inspections, renewals, filings, notices, and other recurring deadlines
  • Prepare, process, submit, and maintain routine property and association documentation
  • Coordinate rental licensing, municipal inspections, utility accounts, lease renewal documentation, and approved resident notices
  • Support administrative processes related to evictions and other compliance requirements
  • Maintain resident, homeowner, property, and community association records
  • Process homeowner registrations, ownership changes, association filings, and standard association documentation
  • Support board packet preparation, governing-document records, and approved association correspondence
  • Maintain organized electronic files, calendars, checklists, templates, and administrative workflows
  • Monitor open items through completion and proactively identify missing or overdue requirements
  • Coordinate documentation and information with Accounting, Field Services, and other departments
  • Assist Operations leadership with administrative projects and process improvement
  • Use technology, automation, and AI appropriately to improve accuracy, consistency, and efficiency
