About The Position

The Brand Guild is seeking an energetic, organized, and proactive Office Manager for their DC office. This role is at a Senior Manager Level and will work closely with the SVP of Operations, contributing significantly to the day-to-day operations of the DC office and the agency as a whole. The position is semi-hybrid, requiring 4 days a week in the DC office and offering 1 day remote. The ideal candidate is a process-lover, comfortable wearing multiple hats, works smart, is extremely professional and poised, exceptionally organized, detail-oriented, and a good communicator. They should also be comfortable managing up and possess a fun-loving attitude.

Requirements

  • 5+ years of experience fully and independently managing a physical office space for a team of 40 or more, including vendor relationships and budget ownership.
  • Ideally, experience within an operations or executive support role.
  • Impeccable attention to detail and highly organized.
  • High level of professionalism and poise.
  • Excellent written and verbal communication skills.
  • A “Team Player” attitude: no job is too large or too small.
  • Great problem-solving skills.
  • Ability to manage multiple priorities simultaneously and the humility to ask for help when needed.
  • Excellent time management skills.

Responsibilities

  • Serve as the owner of the DC office space, proactively identifying, prioritizing, and executing improvements, and handling day-to-day tasks.
  • Conduct regular office walkthroughs to identify and resolve issues, maintaining a polished, client-friendly environment.
  • Oversee and manage daily DC office operations, including supply inventory, mail and package handling, event preparation, and facilities maintenance.
  • Manage the annual office operations budget in coordination with the SVP of Ops.
  • Act as the main point of contact for all office management vendors.
  • Provide backup front-desk coverage outside of standard reception hours.
  • Oversee office and building storage spaces.
  • Support in-office meetings and company events with setup, breakdown, and catering.
  • Manage trash, recycling, pest control, and dishes.
  • Manage office weather-related incidents and clean-up.
  • Manage the assignment and inventory of all company computers and devices, including the full hardware lifecycle.
  • Serve as the main point of contact for Apple repairs and maintenance, and administer the company's Apple Business account.
  • Provide basic IT troubleshooting support to team members.
  • Administer team access, licenses, and renewals for core software platforms and professional subscriptions.
  • Assist with employee onboarding and setup, including office access and workspace assignment.
  • Draft, update, and maintain internal operations documentation.
  • Support the HR team with the planning and execution of company events.
  • Manage company swag and branded-merchandise inventory.
