About The Position

Lumafield is looking for a proactive, resourceful Office Manager to own the workplace experience across our Cambridge and Everett offices. As a member of the People Team, you’ll create and maintain a workplace where our employees can do their best work, and where every detail reflects the high standards we hold ourselves to. We're looking for someone who has a strong sense of ownership. You’ll anticipate needs, solve problems before they become problems, and always look for ways to make the workplace better. As our Office Manager, you'll be one of the people employees interact with every day. You'll lead by example with a positive attitude, build strong relationships across the company, and help create a workplace that people enjoy coming to. Whether you're welcoming a candidate, setting up lunch, solving an unexpected problem, or helping a teammate, you'll approach every interaction with professionalism, enthusiasm, and a willingness to jump in wherever needed. This is a full-time, five-day-per-week, in-office role based primarily in our Cambridge, MA office, with occasional travel (10–20%) to our Everett, MA facility.

Responsibilities

  • Own the day-to-day operation of our Cambridge office, ensuring the space is stocked, organized, functional, and maintained to a high standard.
  • Create an exceptional experience for employees, candidates, customers, vendors, and visitors by maintaining a polished, welcoming, and professional environment.
  • Manage day-to-day logistics, including grocery ordering, snacks, beverages, catering, office supplies, shipping and receiving, and mail. This is a hands-on role; you'll regularly unpack deliveries, stock kitchens, prepare and reset meeting spaces, set up and clean up catering.
  • Partner closely with our Facilities Manager to coordinate repairs, maintenance, vendors, contractors, and workplace improvement projects.
  • Assist with onboarding new employees, own office communications, and provide day-to-day support across our Cambridge and Everett locations.
  • Help plan and execute team lunches, celebrations, and office events that strengthen our culture and create a great employee experience.
  • Lead by example with a positive attitude and a bias toward action. You’ll proactively identify opportunities to improve the workplace, anticipate the team's needs, and take action without waiting for direction.
  • Roll up your sleeves every day. This role regularly involves lifting up to 25 pounds, moving furniture, receiving deliveries, stocking supplies, setting up meeting spaces, and handling the countless details that keep a busy office running efficiently. No task is beneath you if it helps the team succeed.
