About The Position

The SEALS Connecticut/RAM Technologies is looking for a detail-oriented Office Manager to help support daily office, accounting, customer service, shipping, and purchasing tasks. This position requires someone who is organized, trustworthy, comfortable with numbers, and able to work independently while supporting the team.

Requirements

  • Detail-oriented and accurate with data entry.
  • Good math and logic skills.
  • Computer proficient; QuickBooks Online experience preferred.
  • Trustworthy, dependable, and team-oriented.
  • Able to work in a self-directed manner.
  • Strong communication and follow-up skills.

Nice To Haves

  • Accounts receivable and accounts payable experience.
  • Customer service or shipping experience.
  • Experience working in a manufacturing or small business office environment.

Responsibilities

  • Process payroll by determining employees’ weekly hours, entering payroll information in QuickBooks, and processing 401K contributions.
  • Record customer invoice payments in QuickBooks and keep accounts receivable files updated.
  • Follow up with customers regarding outstanding invoices and payment status.
  • Process accounts payable by printing vendor invoices, downloading website invoices, entering invoices in QuickBooks Online or the inventory system, running AP aging reports, and paying invoices due.
  • Input customer purchase orders in QuickBooks Online and coordinate with production team to confirm lead times and shipping schedules.
  • Generate shipping documents, including packing lists, Certificates of Conformance, and commercial invoices for international shipments when needed.
  • Process shipment pick-ups and generate shipping labels.
  • Keep customer and vendor account information updated.
  • Order materials from different vendors as needed.
