About The Position

This position serves as a primary coordinator of all office and administration functions supporting several departments and is the point of contact for visitors, appointments, deliveries, and in-bound phone calls. This position performs multiple administrative duties that strongly contribute to the efficiency of the organization.

Requirements

  • Excellent customer service skills and able to handle challenging situations in a professional and courteous manner.
  • Proficiency with MS Office Suite programs.
  • High school diploma or GED.
  • Typing proficiency and high degree of computer software literacy.
  • Flexible and empathetic demeanor.
  • Must be detail-oriented and organized.
  • Effective organizational and time management skills.
  • Able to communicate positively and clearly with peers, managers, and customers.
  • Excellent interpersonal, written, and verbal communication.
  • Able to work under limited supervision.

Responsibilities

  • Utilize professional etiquette to answer multiple phone lines, route calls, take messages, and manage the initial communications.
  • Greet visitors and coordinate guests and scheduled appointments, including following safety protocols.
  • Answer the back gate, monitor security video and activate gate when appropriate.
  • Filing, making copies, printing / collating, and any other pertinent administrative responsibilities as assigned.
  • Receive packages and retrieve, open & sort mail.
  • Manage office supply inventory.
  • Coordinate office equipment maintenance.
  • Participate in Quarterly Inventory.
  • Electronically deposit checks.
  • Back-up for P-card processes.
  • Back-up for Check processes.
  • Assist potential candidates with on-line application process.
  • B-day/Anni. Cards.
  • High 5 submissions.
  • United Fund Solicitations.
  • Plant Meeting PowerPoint Slides.
  • Provide HR support, as needed.
  • Provides Wellness program support, as needed.
