About The Position

Visiting Angels of Catawba Valley is seeking an Office Coordinator to serve as the operational backbone of their office. This role is hands-on and involves being the connective tissue between the Scheduler, Recruitment Coordinator, and management, ensuring workflows are on track, holding the team accountable, and assisting wherever needed. Responsibilities include answering phones, working with clients and families, managing systems, auditing records, and proactively identifying and resolving issues. This is not a remote management position; it requires active involvement in daily operations.

Requirements

  • 3+ years in operations, office management, or healthcare administration.
  • Hands-on experience with a home care or healthcare scheduling platform (AxisCare preferred).
  • A proactive attitude towards technology and evolving platforms; enjoyment in learning new systems.
  • Exceptional organizational skills; ability to track open items, follow through, and prevent tasks from being overlooked.
  • Clear, direct communication skills, both written and verbal.
  • High personal accountability; taking ownership of tasks until completion.
  • Ability to remain calm under pressure, be adaptable, and maintain professionalism.
  • Valid driver's license and reliable transportation.
  • Must be legally authorized to work in the United States.

  • Home care experience is a strong plus.

Responsibilities

  • Answer inbound calls from prospective clients, families, and referral sources.
  • Qualify prospective clients, present services and pricing, and hand off to the care coordination team.
  • Serve as a point of escalation for client concerns requiring operational judgment.
  • Ensure call log documentation is current, accurate, and closed out properly.
  • Own systems across industry-specific software platforms and serve as the go-to resource for technical issues.
  • Oversee client and caregiver record audits on a weekly and monthly basis.
  • Monitor the active prospect, client, and applicant database and flag gaps to leadership.
  • Ensure all workflows follow Standard Operating Procedures (SOPs).
  • Participate in hiring decisions alongside the Recruitment Coordinator.
  • Serve as backup for orientation, compliance audits, LTC billing, and payroll when needed.
  • Prepare weekly operational updates for the Head of Operations.
  • Identify process gaps and propose solutions.
