We are always looking for exceptional talent to join us on the journey! The Office Coordinator provides reception and administrative support to our Montreal Head office. This role is a true hybrid position, combining front-office reception duties with event coordination and general support. It’s a role that requires strong organizational skills, adaptability, and a proactive, can-do attitude.

Requirements

  • Two or more years’ experience in a similar role.
  • Bilingual (French & English).
  • Proficiency in word processing, spreadsheets, and scheduling applications using Microsoft Office Suite.
  • Knowledge of operating standard office equipment.
  • Strong interpersonal skills, written and verbal communication skills, as well as tact and diplomacy.
  • Strong organizational skills with the ability to multi-task, prioritize work, and work well under pressure.
  • Adaptability and ability to work in a fast-paced environment.
  • Accuracy and attention to detail are essential.
  • Strong problem-solving capabilities.
  • A basic knowledge of French is required for any position located within Quebec.
  • English is required for this position, as it could report to someone outside of Quebec, and requires frequent out of province communications.

Nice To Haves

  • Knowledge of Spanish is considered an important asset.

Responsibilities

  • Greet guests and visitors at reception and respond to inquiries, redirecting them to proper channels as needed.
  • Open, sort and distribute or scan incoming/outgoing mail.
  • Order and maintain supplies for the office and for common areas.
  • Ensure office cleanliness and address any issues related to office sanitation and/or maintenance including all shared spaces.
  • Assist with shipping to and from the Montreal office.
  • Support all in-office events including food orders and ensure daily restocking of the kitchen.
  • Assist with coordinating employee events and initiatives, and recognition activities.
  • Set up and maintain up-to-date vendor tracking and invoice filing system.
