About The Position

Gem Mazda of Tallahassee is a locally owned and operated dealership seeking a well-rounded, organized, and detail-oriented individual to join our Office Staff. This position supports a variety of responsibilities including but not limited to titles, inventory, digital document storage, and other administrative functions while maintaining the ability to manage multiple priorities efficiently in a fast-paced environment.

Requirements

  • Valid driver’s license
  • Background check
  • Steady work ethic, with a minimum of two consecutive years in a similar role
  • Microsoft Word and Excel proficiency

Nice To Haves

  • Dealership experience a plus
  • Basic accounting knowledge and office experience preferred
  • Proficiency with computer systems and data entry

Responsibilities

  • Send out Lien Holder Payoffs to obtain title
  • Handle title corrections
  • Process Wholesale titles
  • Contact 3rd party vendors/customers for missing titles
  • Record all received titles in DMS and Logs
  • Input OEM vehicle inventory and used vehicle purchases
  • Submit OEM incentives
  • Handle Vehicle Deal Paperwork
  • Process product cancellations
  • Handle trade vehicle payoffs
  • Process trade titles
  • Process wholesale titles
  • Process Courtesy Loaner Vehicles
  • Review all deals for signatures and forms
  • Ensure all documents are scanned in document storage system
  • Obtain missing documents and items from deals
  • Filing
  • Backup to tag work
  • Run errands as needed
  • Cross-train for backup with other office duties
