About The Position

One Love Agency is hiring a full-time Office Administrator & Case Manager for our Idaho Falls office, starting immediately. This role combines two key functions: managing the front operations of the medication management clinic and the administrative side of the behavioral health team, as well as carrying a partial case management caseload. The ideal candidate is someone who can manage administrative tasks efficiently, ensuring smooth operations for clinical staff, and also engage directly with clients.

Requirements

  • Bachelor's degree.
  • Real administrative or clinic-coordination experience, including scheduling, records management, and coverage verification.
  • Ability to practice under supervisory protocol.
  • Ability to pass an Idaho Department of Health and Welfare criminal history background check.
  • Clear of any state or federal exclusion list (OIG LEIE / SAM).
  • Comfort with electronic health records.
  • Commitment to same-week documentation.
  • Valid Idaho driver's license.
  • Reliable transportation.
  • Current auto insurance.
  • Discretion and understanding of HIPAA as a habit.

Nice To Haves

  • A degree in a health and human services field (social work, psychology, counseling, sociology, human services, or related) for the case management side.
  • A bachelor's degree in another field qualifies for the CBRS side.
  • Existing presence and network within the Idaho Falls behavioral health community, including schools, clinics, courts, and recovery programs.
  • Experience in behavioral health administration, including understanding of CDA, authorizations, units, and chart reviews.
  • Previous experience carrying a caseload (Case management, CBRS, YES, or equivalent).
  • Experience working around a prescriber, including medication management clinic flow, refills, prior authorizations, and pharmacy coordination.
  • CMA credential.
  • Strong follow-up and closing skills for administrative tasks.
  • CANS certification (Idaho YES).
  • Bilingual ability.
  • Experience reactivating and retaining clients.
  • Warm demeanor on the phone and unflappable in person.

Responsibilities

  • Run the day for the prescriber in the medication management clinic, including greeting and rooming clients, verifying information, preparing charts, scheduling follow-ups, and handling refill requests.
  • Manage scheduling and confirm appointments for clients.
  • Follow up with no-show clients via phone.
  • Provide administrative support for the behavioral health team, including intake, scheduling for therapists, case managers, CBRS specialists, and peer support staff.
  • Handle coverage verification, authorization tracking, records, and releases for the behavioral health team.
  • Maintain office calendars and ensure smooth office operations so clinical staff can focus on client care.
  • Carry a partial case management and/or CBRS caseload, depending on degree, including client engagement, planning, documentation, and billing.
  • Reconnecting with past clients and engaging current clients to ensure they remain in care.
  • Serve as a responsive point of contact for new clients calling the agency.
  • Collaborate with staff to improve the office's reputation and client recommendations.
  • Maintain strict adherence to HIPAA regulations and agency protocols.
