About The Position

One Love Agency is hiring a full-time Office Administrator & Case Manager for our Pocatello office, starting immediately. This role combines two key functions: managing the front desk operations of the medication management clinic and administrative support for the behavioral health team, alongside carrying a partial case management caseload. The agency emphasizes a 'hānai' approach, treating clients and staff like family, and operates collaboratively with all team members playing a crucial role in client care. The agency prioritizes clients, compliance, and community partners in all decision-making.

Requirements

  • Bachelor's degree.
  • A degree in a health and human services field (social work, psychology, counseling, sociology, human services, or related) is preferred for the case management aspect.
  • A bachelor's in another field qualifies for the CBRS side.
  • Real administrative or clinic-coordination experience, including scheduling, records management, and coverage verification.
  • Ability to practice under supervisory protocol.
  • Ability to pass an Idaho Department of Health and Welfare criminal history background check.
  • Clear of any state or federal exclusion list (OIG LEIE / SAM).
  • Comfort with electronic health records.
  • Commitment to same-week documentation.
  • Valid Idaho driver's license.
  • Reliable transportation and current auto insurance.
  • Discretion and understanding of HIPAA.

Nice To Haves

  • Presence in the Pocatello community and established relationships within the behavioral health world.
  • Experience in behavioral health administration, including understanding of CDAs, authorizations, units, and chart reviews.
  • Previous caseload experience (Case management, CBRS, YES, or equivalent).
  • Experience working around a prescriber, including medication management clinic flow, refills, prior authorizations, and pharmacy coordination.
  • CMA credential.
  • Strong follow-up and client retention skills.
  • CANS certification (Idaho YES).
  • Bilingual ability.
  • Experience reactivating and retaining clients.
  • Warm phone manner and unflappable demeanor in the lobby.

Responsibilities

  • Greeting and rooming clients for the medication management clinic.
  • Verifying client demographics, coverage, consents, and releases.
  • Preparing client charts for the prescriber.
  • Scheduling and confirming follow-up appointments.
  • Routing refill requests and pharmacy communications.
  • Contacting no-show clients.
  • Providing intake and scheduling for therapists, case managers, CBRS specialists, and peer support staff.
  • Managing coverage verification and authorization tracking.
  • Handling records and releases.
  • Maintaining calendars and ensuring the office runs smoothly.
  • Carrying a partial case management and/or CBRS caseload, including documentation and billing.
  • Helping to fill the Pocatello office by reconnecting with past clients and being a responsive front door for new inquiries.
  • Keeping current clients engaged to ensure they stay in care.
  • Working with staff to make the Pocatello office a recommended resource in the community.
