About The Position

One Love Agency is hiring a full-time Office Administrator & Case Manager for our Idaho Falls office, starting immediately. This role is split between managing the front of the house for the medication management clinic and the administrative side of the behavioral health team, and carrying a partial case management caseload. The agency emphasizes a team-based approach, referred to as 'hānai' (to take in, to raise as your own), where every role is crucial to client care. They operate based on three core principles: Clients first, Compliance, and Community Partners. The role requires someone who is organized, proactive, and can handle diverse responsibilities within a supportive, family-like work environment.

Requirements

  • Bachelor's degree (preferably in a health and human services field like social work, psychology, counseling, sociology, or human services; other bachelor's degrees qualify for CBRS responsibilities).
  • Real administrative or clinic-coordination experience, including scheduling, records management, and coverage verification.
  • Ability to practice under supervisory protocol.
  • Ability to pass an Idaho Department of Health and Welfare criminal history background check cleared before direct client contact.
  • Clear of any state or federal exclusion list (OIG LEIE / SAM).
  • Comfort with electronic health records and commitment to same-week documentation.
  • Valid Idaho driver's license, reliable transportation, and current auto insurance.
  • Discretion and understanding of HIPAA as a habit.

Nice To Haves

  • A presence in the Idaho Falls behavioral health community, with established relationships with schools, clinics, courts, and recovery programs.
  • Experience in behavioral health administration, understanding of terms like CDA, authorization, units, and chart reviews.
  • Previous experience carrying a caseload (Case management, CBRS, YES, or equivalent).
  • Experience working around a prescriber, including medication management clinic flow, refills, prior authorizations, and pharmacy coordination.
  • A CMA credential.
  • Proven ability to follow up on details and ensure clients do not fall through the cracks.
  • CANS certification (Idaho YES).
  • Bilingual ability.
  • Experience reactivating and retaining clients.
  • Warm phone demeanor and unflappable presence in the lobby.

Responsibilities

  • Run the day for the prescriber in the medication management clinic, including greeting and rooming clients, verifying demographics and coverage, preparing charts, scheduling follow-ups, routing refill requests, and contacting no-shows.
  • Provide administrative support for the behavioral health team, including intake and scheduling for therapists, case managers, CBRS specialists, and peer support staff.
  • Handle coverage verification and authorization tracking for the behavioral health team.
  • Manage records and releases for the behavioral health team.
  • Maintain office organization to ensure clinical staff can focus on client care.
  • Carry a partial case management and/or CBRS caseload, depending on degree, including client interaction, planning, documentation, and billing.
  • Re-engage past clients and serve as a responsive point of contact for new clients.
  • Keep current clients engaged in their care.
  • Collaborate with staff to improve the office's reputation in the community.
