About The Position

One Love Agency is seeking a full-time Office Administrator & Case Manager for their Pocatello office. This role combines front-house operations for a medication management clinic and administrative support for a behavioral health team, with the addition of a partial case management caseload. The agency emphasizes a family-like atmosphere, referred to as 'hānai', and a collaborative 'village' approach to client care. Key principles include prioritizing clients, ensuring compliance through thorough documentation, and maintaining strong relationships with community partners. The position involves managing clinic flow, verifying client information, preparing charts, scheduling appointments, handling refill requests, and performing administrative tasks for the behavioral health team, such as intake, scheduling, coverage verification, and authorization tracking. A significant portion of the role also includes managing a personal caseload of clients, requiring documentation and billing. The role also involves helping to build the Pocatello office by engaging with current and past clients and serving as a welcoming point of contact for new inquiries.

Requirements

  • Bachelor's degree (preferably in a health and human services field like social work, psychology, counseling, sociology, or human services; other bachelor's degrees qualify for CBRS duties).
  • Experience in administrative or clinic coordination, including scheduling, records management, and coverage verification.
  • Ability to practice under supervisory protocol.
  • Ability to pass an Idaho Department of Health and Welfare criminal history background check cleared before direct client contact.
  • Clear of any state or federal exclusion list (OIG LEIE / SAM).
  • Comfort with electronic health records and commitment to same-week documentation.
  • Valid Idaho driver's license, reliable transportation, and current auto insurance.
  • Discretion and understanding of HIPAA.

Nice To Haves

  • A presence in the Pocatello community with established relationships in the behavioral health sector.
  • Experience in behavioral health administration (familiarity with CDA, authorizations, units, chart reviews).
  • Previous experience carrying a caseload (case management, CBRS, YES, or equivalent).
  • Experience working around a prescriber (medication management clinic flow, refills, prior authorizations, pharmacy coordination).
  • CMA credential.
  • Proven ability to follow up and ensure clients do not fall through the cracks.
  • CANS certification (Idaho YES).
  • Bilingual ability.
  • Experience reactivating and retaining clients.
  • Warm phone demeanor and unflappable presence in the lobby.

Responsibilities

  • Greeting and rooming clients for medication management appointments.
  • Verifying client demographics, coverage, consents, and releases.
  • Preparing client charts for the prescriber.
  • Scheduling and confirming follow-up appointments.
  • Routing refill requests and pharmacy communications.
  • Contacting no-show clients.
  • Handling intake and scheduling for therapists, case managers, CBRS specialists, and peer support staff.
  • Performing coverage verification and authorization tracking for the behavioral health team.
  • Managing records and releases.
  • Maintaining office calendars and ensuring smooth office operations.
  • Carrying a partial case management and/or CBRS caseload.
  • Documenting and billing for client services.
  • Reconnecting with past clients and engaging new clients.
  • Keeping current clients engaged in care.
  • Collaborating with staff to improve the office's reputation in the community.
