About The Position

The Medical Staff Coordinator provides support to the organized Medical Staff via meeting management, practitioner credentialing and re-credentialing. This role involves coordinating schedules, preparing meeting materials, transcribing minutes, tracking attendance, and ensuring the accuracy and confidentiality of all data and records. The position also supports onboarding new physicians and allied health professionals, managing credentialing databases, and preparing for site visits and surveys. Additionally, the coordinator provides customer service and performs other duties as assigned, including maintaining continuing education requirements.

Requirements

  • High school or equivalent
  • Minimum two years of administrative/office support experience in an acute care facility or large healthcare organization with multiple tasks.
  • Excellent communication (written and verbal) skills.
  • Strong interpersonal skills for interaction with peers, patients, physicians, and other customers of the medical center.
  • Knowledge of Joint Commission standards, Title 22, and CMS regulations pertaining to the organized medical staff.
  • Knowledge of medical staff principles, practices, quality assessment, performance improvement functions, and legal concepts related to the organized medical staff.
  • Fire Life Safety Training (LA City) - If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

Nice To Haves

  • Associate's degree in a related field

  • Five years of experience as a medical staff services professional
  • Valid CPCS or CPMSM by the National Association of Medical Staff Services (or equivalent five years experience as medical staff professional).

Responsibilities

  • Coordinates scheduling of Medical Staff meetings and Service Line pre-meetings.
  • Delivers meeting notices via electronic mail.
  • Prepares agendas and uploads documents to Diligent Board books.
  • Coordinates/shares/projects the presentation/meeting agenda packet during meetings.
  • Transcribes minutes of meetings, performs follow-ups, and tracks attendance.
  • Maintains a running 12-month record of meeting packets and minutes in survey binders.
  • Submits meeting summaries, policies, and approval items to the Medical Executive Committee.
  • Coordinates scheduling and supports Ad Hoc and Special Meetings as needed.
  • Attends and participates in file review meetings for all assigned Service Lines/Departments.
  • Attends and participates in daily department huddles, monthly department meetings, and other required meetings.
  • Tracks Proctoring/FPPE for new providers and Expanded Privileges.
  • Tracks OPPE and Competencies for Allied Health Professional providers.
  • Processes Additional privileges, Change in privileges, Department Transfers, and Temporary privilege requests.
  • Processes Provisional Reviews and Proctoring Release.
  • Maintains credentialing database, including entering proctoring information, privilege updates, and updating the meeting module.
  • Participates in facility/credentialing preparation for site visits and licensing/accreditation surveys.
  • Ensures maximum confidentiality, accuracy, security, and appropriate access of all data and records.
  • Provides maximum protection from discoverability of all information controlled.
  • Onboards new Physicians/Allied Health Professionals when necessary.
  • Authenticates provider’s access for Imprivata.
  • Covers for office functions as necessary.
  • Prepares and distributes monthly credentialing database reports.
  • Responds to requests for proctoring summary reports, affiliation verification, activity reports, and other requests.
  • Provides customer service to callers and visitors in accordance with KNOWN Standards.
  • Performs other duties as assigned.
  • Maintains sufficient continuing education hours as required by Certification.

  • Hourly rate range for this position is $34.42 - $56.19.
