About The Position

The Medical Staff Coordinator provides support to the organized Medical Staff via meeting management, practitioner credentialing and re-credentialing. This role is essential for ensuring the smooth operation of medical staff functions within an acute care facility.

Requirements

  • High school or equivalent
  • Minimum two years experience providing administrative/office support in an acute care facility or large healthcare organization in which duties included multiple tasks
  • Excellent communication (written and verbal) skills
  • Strong interpersonal skills for interaction with peers, patients, physicians, and other customers of the medical center
  • Knowledge of Joint Commission standards, Title 22, and CMS regulations pertaining to the organized medical staff
  • Knowledge of medical staff principles, practices, quality assessment, performance improvement functions, and legal concepts related to the organized medical staff
  • Fire Life Safety Training (LA City) - If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

Nice To Haves

  • Medical Staff Services Certification (Valid CPCS or CPMSM by the National Association of Medical Staff Services or equivalent five years experience as medical staff professional)

Responsibilities

  • Coordinate scheduling of Medical Staff meetings and Service Line pre-meetings.
  • Deliver meeting notices via electronic mail prior to each meeting.
  • Prepare agendas and upload documents to Diligent Board books to build meeting agenda packets.
  • Coordinate/share/project the presentation/meeting agenda packet during meetings.
  • Transcribe minutes of meetings, perform follow-ups, and track attendance.
  • Maintain a running 12-month record of hard copies of meeting packets and minutes in survey binders.
  • Submit meeting summaries, policies, and approval items to the Medical Executive Committee.
  • Coordinate scheduling and support for Ad Hoc and Special Meetings as needed.
  • Attend and participate in file review meetings for all assigned Service Lines/Departments.
  • Attend and participate in daily department huddles, monthly department meetings, and other required meetings.
  • Track Proctoring/FPPE for new providers (Medical Staff and Allied Health Professionals) and Expanded Privileges.
  • Track OPPE and Competencies for Allied Health Professional providers.
  • Process Additional privileges, Change in privileges, Department Transfers, and Temporary privilege requests for all assigned Service Lines/Departments.
  • Process Provisional Reviews and Proctoring Release for all assigned Service Lines/Departments.
  • Maintain credentialing database by entering proctoring information, privilege entries/updates, updating meeting module, and other tasks to ensure data accuracy and currency.
  • Participate in facility/credentialing preparation for site visits and licensing/accreditation surveys.
  • Ensure maximum confidentiality, accuracy, security, and appropriate access of all data and records, and provide maximum protection from discoverability of all information controlled.
  • Onboard new Physicians/Allied Health Professionals when necessary.
  • Authenticate provider’s access for Imprivata (Electronic Prescribing for Controlled Substances).
  • Cover office functions as necessary.
  • Prepare and distribute monthly credentialing database reports as assigned.
  • Respond to requests for proctoring summary reports, affiliation verification, activity reports, and other requests by hospital staff and/or outside facilities.
  • Provide customer service to callers and visitors in accordance with KNOWN Standards.
  • Maintain sufficient continuing education hours as required by Certification.
  • Perform other duties as assigned.
