About The Position

AllCare is seeking a warm, exceptionally organized, and professional Medical Receptionist (Front Desk Coordinator) to join our team. As the first point of contact for our clinics, you will play a critical role in creating an exceptional patient experience. The ideal candidate combines outstanding customer service with strong administrative skills—serving as a welcoming presence for patients, a trusted partner to our clinical team, and an efficient coordinator of front-office operations. We are looking for someone who is tech-savvy, thrives in a fast-paced environment, enjoys solving problems, and is always looking for ways to improve the patient experience and streamline daily operations.

Requirements

  • High school diploma or equivalent required.
  • 1–2 years of experience in a front desk, customer service, or receptionist role.
  • Proficiency with Microsoft Office and general computer applications.
  • Comfortable learning new technology platforms, AI-enabled tools, and workflow automation systems.
  • Curiosity and adaptability with technology are essential as AllCare continues to innovate.
  • Professional communication skills with the ability to interact confidently and compassionately with patients, providers, and colleagues.
  • Exceptional customer service skills with the ability to de-escalate challenging situations while maintaining professionalism and empathy.
  • Strong multitasking and prioritization skills in a fast-paced environment with frequent interruptions and competing priorities.

Nice To Haves

  • Additional training in healthcare administration, medical assisting, or a related field preferred.
  • Associate degree or healthcare certification a plus.
  • Medical office or healthcare experience strongly preferred.
  • Experience with Athena or another electronic health record (EHR) preferred.
  • Basic understanding of medical terminology.
  • Familiarity with health insurance verification and patient billing processes.

Responsibilities

  • Welcome Patients: Greet patients and visitors with warmth, professionalism, and empathy. Create a welcoming environment from check-in through check-out.
  • Patient Advocacy & Service Recovery: Handle high-volume patient interactions with professionalism and composure. Resolve patient concerns in real time through excellent communication and problem-solving. De-escalate challenging situations while maintaining a positive patient experience.
  • Patient Registration & Intake: Guide patients through registration and intake. Ensure demographic information, insurance details, and required documentation are complete and accurate. Assist patients with digital intake forms and patient portal enrollment as needed.
  • Lobby Management: Maintain a clean, organized, and welcoming reception area. Ensure patient flow remains organized throughout the day.
  • Communication Management: Manage a multi-line phone system. Answer questions, route calls appropriately, and relay messages accurately.
  • Appointment Scheduling: Schedule, reschedule, and confirm patient appointments. Coordinate provider schedules while optimizing patient access.
  • Medical Records: Scan, upload, sort, and route incoming faxes and medical records accurately. Maintain organized electronic documentation while ensuring data integrity.
  • Technology & Patient Support: Assist patients with portal access, digital scheduling, and telehealth readiness. Comfortably utilize electronic health record systems and other digital tools to support efficient clinic operations.
  • Clinic Operations: Monitor provider schedules and communicate delays or schedule changes to patients. Coordinate patient flow with providers and clinical staff to minimize wait times. Assist with administrative projects and operational initiatives as needed.
  • Insurance Verification: Verify insurance eligibility, benefits, and patient responsibility prior to appointments whenever possible.
  • Payment Processing: Collect co-pays, deductibles, and outstanding balances. Process payments accurately and balance daily payment reports.
  • HIPAA Compliance: Maintain strict confidentiality of all patient health and financial information. Follow HIPAA guidelines and all organizational privacy policies.
