Marketing & Events Coordinator

MDpanel
•$55,000 - $75,000•Remote

About The Position

The Marketing & Events Coordinator runs MDpanel's event program, ensuring events stay on budget and generate pipeline. The role owns 10–12 national events and supports up to 35–40 regional events annually, including industry conferences, sponsorships, and MDpanel-hosted activities, from planning through post-event follow-up. It also coordinates the collateral, promotion, and social content that support these events. This role is MDpanel's primary point of contact with conference organizers and event vendors and owns event lead data from badge scan through Salesforce, ensuring leads reach Sales quickly and are attributed to the events that generated them. It is suited to an organized marketing generalist who can manage 5–10 events and projects at once while meeting deadlines. The position is remote and home-office based, with required travel to conferences and events estimated at 15%–25% of the time, with peaks during conference season. At events, work takes place in conference centers, exhibit halls, and hotels, which may be busy and noisy and involve long days on site.

Requirements

  • One to three years of experience in event, marketing, or project coordination; B2B experience is ideal.
  • Hands-on experience with trade show or conference logistics, including registration, booth, shipping, and vendors.
  • Ability to manage 5–10 concurrent events and projects with competing deadlines.
  • Strong attention to detail with lead and contact data, including cleanup, deduplication, and CRM import.
  • Clear, concise written and verbal communication, including writing marketing and social copy.
  • Ability to work independently with limited direction and adapt to shifting priorities.
  • Working knowledge of, or willingness to quickly learn, Salesforce, Customer.io, ClickUp, Canva, and Adobe Creative Cloud.
  • Ability to travel to events, including occasional early mornings, evenings, and weekends.
  • Valid work authorization for the country in which the applicant is applying; the company cannot provide sponsorship assistance.

Nice To Haves

  • Experience marketing to healthcare, insurance, claims, legal, or workers' compensation audiences.
  • Experience with lead capture and enrichment tools such as badge scanning apps, ZoomInfo, Apollo, or similar.
  • Experience tracking event budgets and reporting on cost per lead or event ROI.
  • Experience supporting webinars or virtual events.
  • A degree in marketing, communications, event management, or a related field, or equivalent work experience.
  • CMP (Certified Meeting Professional) or CAPM certification, or progress toward one.

Responsibilities

  • Plan and run each event against a standard timeline and checklist, managing registrations, booth and sponsorship deliverables, staff hotel and travel bookings, shipping, and on-site setup and teardown.
  • Maintain the master event calendar and support webinars and virtual events as needed.
  • Work with national and regional sales leaders to develop the case for event resourcing, including expected audience, cost, staffing, and goals.
  • Provide pre-event briefings on attendees, target accounts, and logistics, and post-event recaps on results and follow-up.
  • Serve as MDpanel's point of contact with conference organizers, venues, and vendors; negotiate sponsorship packages and marketing add-ons within approved budgets, track contract deadlines, and process invoices.
  • Maintain an inventory of booth assets and promotional items.
  • Set up lead capture before events, consolidate event lead data, enrich records, map fields, and import data into Salesforce with campaign attribution while flagging duplicates and data issues.
  • Coordinate lead handoff with Demand Gen and Sales to support prompt routing and follow-up.
  • Track event spending against approved budgets, reconcile invoices, and flag variances early.
  • Report after events on leads captured, meetings held, cost per lead, and pipeline influenced; maintain year-over-year event performance information.
  • Drive pre-event promotion and post-event follow-up through email and social channels; draft copy, maintain content and social posting calendars, and support event collateral production.
  • Capture photos and content on site for post-event marketing.
  • Communicate status, risks, and changing priorities proactively with internal teams and external partners.
  • Keep project tracking current and document repeatable processes, including event checklists and lead import standards.
