About The Position

The Marketing, Communications, and Events Office Coordinator serves as the primary student support for the Office of Marketing, Communications, and Events. This position provides front office customer service and administrative support while assisting with marketing, communications, and event initiatives across campus. As the first point of contact for many visitors, faculty, staff, students, and community partners, the Office Coordinator helps create a welcoming and professional experience while supporting the day-to-day operations of a fast-paced, collaborative office. This role offers hands-on experience in higher education administration, marketing, communications, and event management.

Requirements

  • Currently enrolled Westminster University student in good academic standing.
  • Excellent customer service and interpersonal skills.
  • Strong written and verbal communication abilities.
  • Highly organized with strong attention to detail.
  • Ability to manage multiple priorities while meeting deadlines.
  • Ability to work independently and collaboratively.
  • Demonstrated professionalism and discretion when handling confidential information.
  • Basic proficiency with Microsoft Office and Google Workspace.

Nice To Haves

  • Previous customer service, office, or administrative experience.
  • Interest in marketing, communications, event management, public relations, or business.
  • Experience with Canva, Adobe Creative Suite, social media platforms, or website content management systems.
  • Experience working events or serving in a leadership role on campus.

Responsibilities

  • Welcome and assist visitors, faculty, staff, students, and guests in a friendly and professional manner.
  • Direct general office inquiries to the proper staff.
  • Monitor departmental email inboxes and route requests to appropriate team members.
  • Maintain an organized, clean, and welcoming office environment.
  • Assist with copying, scanning, filing, mailing, and other administrative tasks.
  • Monitor and replenish office and breakroom supplies as needed.
  • Provide general administrative support to the Marketing, Communications, and Events department.
  • Organize digital and physical files.
  • Enter data and maintain spreadsheets, forms, and records.
  • Manage office purchasing card (P-Card) receipts, reconcile transactions, code routine departmental expenses, and maintain accurate financial documentation.
  • Process departmental invoices, prepare payments, and assist with maintaining accurate financial records to ensure timely payment.
  • Assemble promotional materials and marketing packets.
  • Assist with maintaining inventories of branded merchandise and marketing collateral.
  • Help organize photography and digital assets.
  • Conduct basic research for communications and marketing projects.
  • Support special communication initiatives and campus-wide projects.
  • Assist with preparation for campus events by organizing supplies, assembling registration materials, and creating other event materials as needed.
  • Help maintain event inventory and storage areas.
  • Provide on-site event support, including guest check-in, registration, directional assistance, and event logistics.
  • Support departmental projects across marketing, communications, web services, and events.
  • Complete additional duties and special assignments as needed.
