About The Position

This role is responsible for meeting strategic goals related to workplace solutions, facilities, operations, and occupancy strategy. The position involves developing best practices to improve organizational efficiencies, reduce occupancy costs, optimize space requirements, and enhance employee engagement and satisfaction. The goal is to foster a culture that adapts to the evolving nature of work and business needs. The role is based on-site in the NY offices.

Requirements

  • 3+ years of experience in facilities management, corporate real estate, project, or operations management
  • Bachelor's degree or equivalent experience

Responsibilities

  • Manage local workplace and facilities operations in the New York and Ewing, New Jersey facilities, ensuring exceptional experiences for staff and visitors.
  • Ensure compliance with legal regulations and lease obligations.
  • Assist in developing the Association's regional property and facilities strategies.
  • Manage ongoing facilities projects, including renovations, space reconfigurations, and property surrenders.
  • Negotiate contracts with facility vendors such as general contractors, architects, cleaning and maintenance services, and food service providers.
  • Oversee shipping and receiving operations at the New York facility.
  • Manage facility communications, including regular updates and situation-specific alerts.
  • Facilitate and support on-site meetings, town halls, and workplace events, coordinating room reservations, setup, catering, and day-of operational support.
  • Manage building access control processes, coordinating employee, visitor, and vendor access badges with security protocols and local requirements.
  • Process facilities-related purchase requisitions and purchase orders, including supporting documentation, vendor coordination, and adherence to approved budgets and procurement policies.
  • Track and reconcile facilities and event-related expenses, ensuring accurate processing of invoices and payments.
