About The Position

The Mailroom Specialist responds to medical record requests from insurance carriers at different stages of claim processing, helping support maximum reimbursement for each claim. The role navigates electronic medical record (EMR) and revenue platforms to obtain or produce and transmit records requested by insurance carriers or third parties. It requires understanding explanations of benefits (EOBs), reviewing denials and insurance correspondence, comprehending revenue-based and claim-lifecycle account notes, and creating clear, concise documentation.

Requirements

• High school diploma or GED equivalent.
• 1–2 years of medical collections or medical office experience.
• Intermediate expertise with Microsoft Office Suite, including Outlook, Excel, Word, and Teams, and PDF software such as NitroPro.
• Familiarity with insurance payer rules and regulations.
• Ability to multitask effectively.
• Strong comprehensive and analytical skills.
• Effective verbal and written communication skills, including professional phone skills.
• Detail-oriented.
• Ability to function as a cooperative team member with a positive attitude.
• Ability to work independently with minimal supervision and maintain confidentiality.

Responsibilities

• Understand and comply with applicable governmental, regulatory, company billing/accounts receivable, and payer compliance regulations and policies.
• Analyze EOBs and correspondence and assemble medical record packages that respond accurately to requests and claim adjudication needs.
• Identify and communicate payer information, issues, and trends to appropriate parties or departments.
• Follow up on pending accounts and complete tasks in a timely manner.
• Address denials and zero payments by identifying and providing requested documentation or referring accounts to billing for claim corrections.
• Use office equipment and software applications to facilitate claim finalization.
