Licensing and Compliance Coordinator
About The Position
FarmaKeio is seeking a detail-oriented and proactive Licensing and Compliance Coordinator to support regulatory excellence and the operations of its 503A pharmacy network across Texas, Arkansas, and New Mexico. The Coordinator manages pharmacy licensing and renewals across state jurisdictions, maintains audit-ready records, and supports quality assurance and compliance activities. The role works closely with site Pharmacists-in-Charge (PICs), the Director of Compliance/QA, pharmacy teams, and regulatory agencies to help ensure licenses remain current and pharmacies are prepared for audits and inspections. The position includes coordinating resident and non-resident pharmacy licenses and sterile and non-sterile compounding licenses; preparing, submitting, and tracking applications and renewals; maintaining licensing calendars and supporting documentation; assisting with facility credentialing and registrations; and supporting compliance with USP <795>, <797>, and <800>. It also supports audits, inspections, accreditation surveys, CAPAs, deviations, compliance records, and quality-program logs. The work is primarily in a standard office environment, with occasional on-site work at pharmacy locations. Requirements
- Associate’s degree required; a Bachelor’s degree is preferred. Relevant fields include healthcare, regulatory affairs, business, or a related field.
- 1–2 years of experience in regulatory compliance, licensing, administrative support, or pharmacy operations; pharmacy or healthcare experience is strongly preferred.
- Knowledge of pharmacy regulatory requirements; familiarity with sterile and non-sterile compounding regulations is a plus.
- Excellent organizational skills and ability to manage multiple deadlines across multiple state jurisdictions.
- Professional communication skills and ability to interact effectively with regulatory agencies, PICs, and internal leadership.
- Proficiency with Microsoft Office, Google Workspace, and document management systems.
Nice To Haves
- Experience with pharmacy or healthcare licensing, credentialing, or regulatory filings.
- Familiarity with 503A compounding regulatory requirements.
- Experience supporting state board, DEA, FDA, or PCAB/ACHC audits.
- Knowledge of quality systems, CAPA processes, and compliance documentation.
Responsibilities
- Coordinate and track licenses for the three FarmaKeio 503A pharmacy locations, including resident licenses in Texas, Arkansas, and New Mexico, non-resident pharmacy licenses, and sterile and non-sterile compounding licenses.
- Work with site PICs and the Director of Compliance/QA to obtain documents for license applications and renewals.
- Prepare, submit, and monitor new license applications and renewals to support uninterrupted compliance.
- Maintain a licensing calendar with renewal deadlines, submission timelines, and requirements across states.
- Communicate with Boards of Pharmacy and other regulatory agencies about application status and compliance requests.
- Maintain organized, audit-ready records of licenses, applications, correspondence, and supporting documentation.
- Assist with facility-related credentialing and registrations, including compounding registrations and applicable controlled-substance-related documents.
- Assist the Director of Compliance/QA and site PICs with preparation for and conduct of internal and external quality and compliance audits.
- Maintain and update compliance documentation, SOPs, and required quality records.
- Support monitoring and compliance with USP <795>, <797>, and <800> standards.
- Help track CAPAs, deviations, and follow-up actions through timely resolution.
- Assist with regulatory inspection and accreditation survey readiness.
- Collect data and maintain logs for compliance metrics, environmental monitoring, temperature logs, and other QA programs.
