IT Project Manager | Schulte Hospitality Group

Schulte Hospitality Group•Louisville, KY

About The Position

Schulte Hospitality Group is seeking an energetic, experienced, hands-on Project Manager to provide project management and PMO support for the company’s technology transformation. The initial focus is a multi-system implementation program centered on Microsoft Dynamics 365 Business Central. The role owns the integrated project plan, coordinates internal teams and implementation partners, drives accountability for deliverables, and manages dependencies, risks, decisions, and rollout readiness across a large, multi-property portfolio. It may also support other major technology and finance initiatives as priorities evolve. The role is accountable for disciplined execution and transparent reporting; accounting policy, technical architecture, and final investment and go-live decisions remain with the appropriate functional leaders and executive sponsors. The Project Manager coordinates Business Central and related workstreams, including applicable systems and integrations, while partnering with Accounting, Finance, Treasury, IT, Operations, subject matter experts, vendors, and implementation partners. The role tracks scope, schedule, costs, testing, change management, readiness, and cutover activities; maintains project governance and RAID documentation; and provides concise updates and decision support to executives and steering committees. It also supports broader Accounting and Finance initiatives, including process standardization, shared-services development, close and reconciliation improvements, reporting enhancements, automation, and portfolio transitions. The role requires a bachelor’s degree in a relevant field or equivalent relevant experience and at least five years of progressive project or program management experience, including complex ERP or financial systems implementations through go-live and stabilization. Experience with Microsoft Dynamics 365 Business Central or a comparable ERP is strongly preferred. PMP or comparable certification, and accounting/finance transformation, multi-entity or multi-property operations, and hospitality experience are also preferred.

Requirements

  • Bachelor’s degree in Business, Accounting, Finance, Information Systems, or a related field, or equivalent relevant experience.
  • At least 5 years of progressive project or program management experience, including ownership of complex ERP or financial systems implementations through go-live and stabilization.
  • Experience managing multiple workstreams, third-party implementation partners, scope changes, budgets, and executive governance.
  • Proficiency with project planning and collaboration tools such as Microsoft Project/Planner, Asana, or Smartsheet.
  • Strong Excel, Teams, SharePoint, Word, and presentation skills.
  • Strong command of integrated scheduling, critical-path analysis, dependency management, RAID logs, change control, and readiness tracking.
  • Working understanding of financial processes, including general ledger, accounts payable, treasury, close, reconciliations, fixed assets, and financial reporting.
  • Ability to coordinate requirements, data mapping and conversion, integration testing, UAT, defect resolution, and cutover activities with business and technical owners.
  • Ability to develop clear dashboards, cost tracking, decision papers, and executive-ready status reports.
  • Demonstrates process improvement, systems acumen, commitment to task, clear communication, effective execution management, and teamwork across functions and external partners.

Nice To Haves

  • Experience with Microsoft Dynamics 365 Business Central or a comparable ERP.
  • Accounting and Finance transformation experience.
  • Experience with multi-entity or multi-property operations.
  • Hospitality experience.
  • PMP or comparable project management certification.
  • Familiarity with GAAP and USALI concepts.

Responsibilities

  • Own and maintain an integrated program plan covering scope, milestones, deliverables, owners, resource needs, dependencies, and phased property and entity rollouts.
  • Manage the critical path, distinguish planning assumptions from confirmed commitments, and update schedules as vendor timelines, design decisions, and readiness change.
  • Coordinate project capacity with month-end close, budget season, year-end reporting, and other operational commitments; surface conflicts and recommend sequencing or resource adjustments.
  • Establish project governance, working-session agendas, action tracking, decision logs, and document repositories, and drive follow-through.
  • Coordinate Business Central and related workstreams, including Ottimate, ProfitSword, Workiva, banking automation, payroll integrations, procurement interfaces, and balance sheet reconciliation tools as applicable to approved scope.
  • Maintain a cross-system dependency and integration inventory covering chart-of-accounts and dimension mapping, data conversion, reporting, approvals, and cutover requirements.
  • Coordinate independent solution validation and partner handoffs, and track decisions on components to retain, remediate, or redesign before downstream processes and training are finalized.
  • Partner with Accounting, Finance, Treasury, IT, Operations, and subject matter experts to coordinate requirements and deliverables for core accounting, Fixed Assets, Project/CapEx, reporting, and applicable UK and non-hotel entity needs.
  • Track implementation-partner and vendor commitments against approved statements of work, requirements, gap inventories, acceptance criteria, and delivery dates.
  • Coordinate scoping, proposals, estimates, and change requests; document schedule, cost, and resource impacts and obtain required approvals before implementing scope changes.
  • Maintain visibility into approved budgets, actual project spend, outstanding commitments, and estimated cost to complete; flag variances and support leadership decisions.
  • Escalate missed commitments, unresolved scope questions, and handoff gaps with clear owners, recovery actions, and decision requests.
  • Coordinate integration testing, user acceptance testing, parallel testing where required, defect tracking, retesting, and documented functional-owner sign-offs.
  • Manage readiness checklists for design, data, integrations, reporting, security and approvals, process documentation, training, and support; prepare evidence-based go/no-go recommendations for leadership.
  • Coordinate subject matter expert and super-user preparation, training schedules, SOP and month-end checklist completion, and stakeholder communications with functional owners.
  • Manage wave-level cutover plans, contingency arrangements, hypercare coverage, issue triage, and transition to steady-state support; capture lessons learned and apply them to subsequent waves.
  • Maintain an active risk, assumption, issue, and dependency log with mitigation plans, accountable owners, and escalation triggers.
  • Provide concise executive and steering-committee updates on progress, critical-path changes, readiness, costs, unresolved decisions, and required actions.
  • Escalate material blockers promptly and present practical options and tradeoffs without compromising financial reporting quality or operational controls.
  • Provide project management support for other large initiatives assigned by Accounting and Finance leadership, including process standardization, shared-services development, close and reconciliation improvements, reporting enhancements, automation, and portfolio transitions.
  • Define project charters, scope, success measures, milestones, governance, and handoff requirements with sponsors and functional owners.
  • Coordinate cross-functional execution and adoption; track agreed benefits and completion criteria and ensure ownership transfers to the ongoing operating team.
