About The Position

Trinity Health IHA Medical Group is seeking a customer-focused Intake Representative to provide frontline support for its Outpatient Psychiatry and Counseling Center. The role serves as a connection between patients and their healthcare team by conducting phone screenings, assigning prospective patients to therapists and physicians, handling patient calls, and supporting intake operations. The representative also helps maintain the intake database and prepares monthly reports on intake activity.

Requirements

High school diploma or GED.
Previous experience in a combination of patient services, medical reception, a medical call/customer service center, or another customer service environment.

Nice To Haves

Coursework in insurance/billing, medical practice education, or seminars.

Responsibilities

Serve as the first point of contact for patients by phone.
Provide intake services to callers seeking outpatient mental health, chemical dependency, or psychoeducational services.
Schedule, confirm, and coordinate patient appointments.
Answer questions, route calls appropriately, and relay messages to clinical staff.
Verify patient registration and insurance information.
Assist patients with MyChart and other patient portal support.
Support referrals, authorizations, and patient outreach activities.
Maintain accurate documentation and patient records.
Partner with providers and office teams to create a seamless patient experience.
Assist with maintenance of the intake database and monthly reports on intake activity.
Conduct phone screenings and assign prospective patients to therapists and physicians.
