About The Position

The Inside Sales Representative / Material Coordinator is responsible for providing exceptional customer service, sales support, inventory coordination, shipping and receiving activities, and warehouse support. This role serves as a key link between customers, vendors, Account Managers, and operations personnel to ensure timely order fulfillment and customer satisfaction. The position combines inside sales responsibilities with material coordination functions and plays a critical role in supporting branch operations, inventory accuracy, and customer relationships.

Requirements

High School Diploma or GED required.
Previous customer service, inside sales, warehouse, inventory, or branch operations experience preferred.
Strong communication and interpersonal skills.
Ability to manage multiple priorities in a fast-paced environment.
Strong organizational and problem-solving abilities.
Proficiency with Microsoft Outlook, Word, and Excel.
Experience using ERP or order management systems preferred.
Ability to work independently while contributing to a team environment.
Commitment to providing exceptional customer service.
Ability to regularly use office equipment and computer systems.
Frequent communication with customers, vendors, and coworkers.
Ability to lift and move materials within established safety guidelines.
Ability to stand, walk, bend, and reach throughout the workday as needed.
Ability to work in both office and warehouse environments.
Ability to safely operate material handling equipment following training and certification requirements.

Responsibilities

Receive and process customer orders via phone, email, customer portals, and walk-in inquiries.
Provide order status updates, pricing information, and product availability.
Prepare and process quotations.
Assist customers with product selection and technical recommendations.
Process returns, credits, and exchanges.
Partner with Account Managers to support customer accounts and sales growth.
Develop and maintain professional relationships with customers and vendors.
Resolve customer concerns and escalate issues when appropriate.
Coordinate the flow of materials, parts, and assemblies to support customer orders and operational requirements.
Receive, inspect, and verify incoming shipments.
Process outbound shipments accurately and on time.
Maintain inventory accuracy through cycle counts and inventory reconciliation.
Assist with annual physical inventory counts.
Research and resolve inventory discrepancies.
Coordinate transfers and movement of materials within the facility.
Support inventory replenishment activities as needed.
Prepare shipments using approved carriers and shipping systems.
Coordinate domestic and international shipments as required.
Prepare shipping documentation including packing slips, bills of lading, and related paperwork.
Maintain organized warehouse, stock, dock, and staging areas.
Operate material handling equipment in accordance with company guidelines.
Ensure shipping and warehouse equipment are maintained and operating properly.
Assist with customer pickups and will-call orders.
Follow all safety procedures and identify unsafe conditions when observed.
Maintain accurate records within order management and inventory systems.
Support branch operations through cross-functional collaboration.
Assist with special projects and operational initiatives.
Participate in training and professional development opportunities.
Perform other duties as assigned.
