HR Operations Analyst

Obin AI•New York, NY

About The Position

Obin is hiring an HR Operations Analyst to build and operate the systems, data, and processes behind the employee experience, from offer letter through offboarding. This is a hands-on role responsible for establishing HR operations rather than inheriting an existing function. The position reports to the Head of Recruitment & Human Resources, who owns talent and people strategy; the HR Operations Analyst owns the operating system that enables it to run accurately, compliantly, and at scale. The role includes administering Rippling as the source of truth for employee and compensation records; managing employee lifecycle processes; preparing offers and employment documents; maintaining compliance and audit-ready records; coordinating benefits, payroll support, and vendor operations; producing workforce reporting; coordinating performance and development cycles; documenting and automating processes; and supporting employee experience. Obin expects the role to identify opportunities to automate repetitive work.

  • Experience administering an HRIS such as Rippling, Workday, or ADP, including data, workflows, reports, and integrations.
  • Comfort with spreadsheets, ability to build reports from raw exports, and attention to data inconsistencies.
  • Understanding of federal, state, and local employment requirements and judgment about when to escalate issues to counsel.
  • Ability to handle compensation, immigration, and employee relations information confidentially.
  • Precision and follow-through in managing multiple deadlines.

Nice To Haves

  • Rippling or similar PEO administration experience.
  • Early-stage or high-growth startup experience.
  • Multi-state or distributed workforce compliance experience.
  • Experience coordinating employment-based immigration, such as TN or H-1B, with outside counsel.
  • Experience with sales compensation, commission, or equity administration.
  • Experience automating HR workflows with no-code tools, scripts, or AI.
  • HR certification such as SHRM-CP or PHR.

Responsibilities

  • Administer Rippling, keeping employee, title, manager, department, and compensation data accurate; build workflows, run reports, and resolve system issues.
  • Manage onboarding, transfers, promotions, and offboarding, including background checks, I-9 and employment eligibility, equipment and system access, and day-one readiness.
  • Prepare offer letters and employment documents, including variable compensation, commission draws, and equity terms, and ensure promised compensation matches amounts paid.
  • Manage multi-state employment requirements, postings and notices, policy acknowledgments, audit-ready records, and a compliance calendar.
  • Coordinate with outside counsel on immigration matters, including TN and other work authorizations.
  • Run open enrollment, serve as backup for payroll, and reconcile HR and benefits invoices with vendors and finance.
  • Produce a monthly people dashboard covering headcount, hiring, turnover, time to fill, and training completion.
  • Coordinate goal setting and performance review cycles, including timelines, communications, manager support, and completion tracking.
  • Track required training and maintain current records.
  • Write HR playbooks, checklists, and policies, and identify opportunities to automate repetitive work.
  • Respond to employee and manager questions, run engagement surveys, maintain internal HR resources, and ensure HR communications are clear and consistent with company values.
