About The Position

This role provides administrative support to the Labor Relations department. Key responsibilities include scheduling meetings, taking detailed notes during labor management and investigatory meetings, gathering agenda items, and creating agendas. The position also involves managing the grievance process from intake to tracking due dates and sending reminders. Additionally, the role includes scheduling contract negotiation dates and rooms, ensuring proper filing of all discipline and grievance documents, and performing other assigned administrative duties. Attention to detail and confidentiality are critical. A specific requirement is that candidates cannot have relatives residing with them who are employed at the Client site.

Requirements

  • Administrative Support Experience: Experience providing administrative support, especially in scheduling, organizing meetings, and managing logistics.
  • Attention to Detail: Ability to accurately record meeting notes, manage grievance intake, track deadlines, and ensure proper documentation.
  • Confidentiality: Demonstrated ability to maintain confidentiality when handling sensitive information such as grievance details and disciplinary actions.
  • Scheduling and Coordination: Proficiency in scheduling meetings and coordinating resources, including room reservations and managing deadlines.
  • Intermediate to Advanced MS Office Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to create documents, track information, and manage schedules.
  • Candidates for the role can not have relatives of individuals that reside in their residence that are employed at Client site.

Responsibilities

  • Assist Labor Relations with scheduling meetings, taking notes during labor management and Investigatory meetings, seeking agenda items, and creating agendas for various labor management meetings.
  • Manage grievances received from represented groups; including intake, logging and entering details into the HRIS system, tracking due dates and sending reminders of due dates for grievances.
  • Schedule contract negotiation dates and rooms.
  • Ensure that all discipline and grievance documents are appropriately filed.
  • Complete other administrative duties as assigned.
