About The Position

The HR Admin Assistant performs a variety of administrative tasks in support of the Human Resources department. Under general supervision, performs a variety of Human Resource (HR) duties including updating Human Resources Information System (HRIS) and records management, supporting the needs of the Senior HR Business Partner and providing quality customer service. May be assigned special projects or other work functions as well.

Requirements

  • High school diploma required.
  • 1 – 3 years of previous HR experience in human resources, benefits, and customer service.
  • Must be able to work with employees at all levels.
  • Must have a basic knowledge of HR policies, process and workflow, HR-related state and federal laws, and group benefits.
  • Knowledge of MS Office suite (Excel, Outlook, Word, and Power Point).
  • Demonstrated ability to apply critical thinking skills.
  • Demonstrated ability to handle multiple tasks simultaneously.

Nice To Haves

  • General knowledge of various HRIS systems such as JDE and Oracle Cloud is a plus.
  • Bilingual in English and Spanish preferred.

Responsibilities

  • Responsible for tracking post-accident drug tests in the tracking log.
  • Responsible for tracking random drug tests and probation forms.
  • Coordinates clinic services, including establishing new clinic providers, authorizing services, and following up on service completion and results as needed.
  • Responsible for paying clinic invoices and pre-employment invoices from Accurate.
  • Provides first-level support and escalates complex issues to higher-level staff as needed.
  • Performs data entry and maintains accurate employee and human resources records.
  • Performs other clerical duties, as needed.
  • Serves as the first point of contact for employee and manager HR-related questions, concerns, or issues; redirects inquiries to the appropriate department as needed.
  • Leads full-cycle new hire onboarding, including drafting offer letters, coordinating pre-employment tasks, conducting new hire orientations (in-person and virtual), and supporting intern onboarding processes.
  • Creates and maintains new employee records in the HR systems, primarily supporting office employees with occasional support for field employees.
  • Assists in the creation, maintenance, and processing of HR forms and documents, including but not limited to Form I-9 completion and E-Verify administration.
  • Processes employee lifecycle transactions in the HR systems, ensuring changes are completed accurately and within established timelines.
  • Completes verification of employment (VOE) requests for office employees, with occasional support for field employees.
  • Maintains employee files and supports HR audits as needed while ensuring compliance with federal, state, and local laws.
  • Supports quarterly HRIS updates by testing system functionality and identifying issues prior to implementation.
  • Administers the gas card program and related documentation.
  • Assists with updating field employee PTO balances in JDE.
  • Performs other job-related duties in additional areas of responsibility as assigned.
