About The Position

The GME Program Manager ensures compliance with accreditation standards, oversees onboarding, training, and employment processes, and supports operational and academic excellence across all programs. This role requires a high degree of independence, initiative, and sound judgment, with the ability to manage complex responsibilities and meet critical goals and externally driven deadlines in a fast-paced academic environment.

Responsibilities

  • Provide strategic and operational oversight of all academic and administrative data maintained in the resident management system, ensuring accuracy and compliance in resident and fellow records, including education, procedures, employment, HR data, visas, institutional training, site rotations, and system access.
  • Oversee workflow logistics and ensure timely communication and feedback to the GME analysts.
  • Supervise procurement and management of supplies, materials, and resources supporting educational functions and institutional responsibilities.
  • Serve as a primary resource and mentor for program managers and coordinators regarding resident management system functions and best practices.
  • Lead and participate in state and federal audits, ensuring readiness and compliance with all regulatory requirements.
  • Collect, analyze, and interpret data to assess operational and academic performance, providing recommendations for process improvement.
  • Foster clear, consistent, and interdisciplinary communication within the UCMC GME community; actively participate in program coordinator/manager, program director, and department meetings, workshops, and retreats.
  • Demonstrate initiative in staying informed about institutional and program accreditation requirements through meetings, communications, and professional updates.
  • Design, implement, and oversee educational and training curricula related to resident management system functionality for program managers, coordinators, and program directors.
  • Monitor compliance with evaluation and training requirements, identify deficiencies, and assist program leadership in implementing corrective measures.
  • Generate, review, and distribute aggregate evaluation and performance reports.
  • Collaborate with the GME team to develop educational content and ensure that program competencies meet or exceed accreditation and institutional standards (ACGME, GMEC, CPME, ABOG, ACNS, ODH, TJC).
  • Support Program Directors, Assistant Program Directors, and Key Clinical Faculty in identifying and addressing programmatic and individual learning needs; coordinate appropriate educational activities and evaluate outcomes.
  • Ensure the consistent delivery of high-quality customer service to all internal and external GME stakeholders, serving as a professional role model and standard-setter for service excellence.
  • Provide responsive, knowledgeable support to program directors and coordinators regarding resident management system functionality and ACGME website processes.
  • Actively participate in GME marketing, outreach, and engagement initiatives to promote institutional visibility and strengthen relationships with affiliated programs and partners.
  • Pursue continuous professional growth through participation in conferences, professional committees, and educational opportunities (e.g., MedHub, AAMC, ACGME).
  • Maintain awareness of current trends, best practices, and innovations in Graduate Medical Education and integrate new standards into program operations.
  • Identify ongoing learning needs and complete at least two professional development activities annually through Corporate Training and Development.
  • Demonstrate leadership by exploring and adopting new methodologies and quality improvement initiatives that enhance program performance and institutional reputation.
