About The Position

The Forsyth School of Dental Hygiene (FSDH) is seeking a Front Desk Administrator to support front desk operations in the Manchester clinic. This role involves working with patients, faculty, staff, and students to schedule clinical sessions and address front desk and patient needs. This appointment is contingent upon the Commission on Dental Accreditation (CODA) approval of the proposed program expansion, with a decision anticipated in March of 2027. The position is set to begin on July 1, 2027.

Requirements

  • High school diploma.
  • Previous experience as a front desk staff member in a medical or dental practice setting.
  • Minimum of 2-3 years of relevant experience in a dental clinical setting.
  • Excellent verbal and written communication skills, including the ability to effectively communicate with patients and dental team members.
  • Adequate computer skills with the ability to effectively communicate via email and learn the use of software platforms for purposes of scheduling appointments and managing patient needs.
  • Strong organizational skills.

Responsibilities

  • Greets and welcomes patients; manages check in/out process.
  • Schedules and confirms appointments with clinic patients and community partners.
  • Works with community dental offices and partners to establish a referral system.
  • Verifies patients’ insurance, collects payment, manages documents, prints receipts.
  • Collects exit surveys and collates responses.
  • Monitors and maintains unscheduled appointments and future recare appointments.
  • Trains, supervises work-study students.
  • Communicates with MCPHS security to manage parking list for elderly/disabled patients.
  • Manages patient records and dental information, handles transfer requests and archival of records.
  • Manages daily collections settlement and works with business office to make deposits/settlements.
  • Produces clinical operations and student completion reports for CODA (accreditation) and MCPHS departments.
  • Conducts follow-up calls with patients re: post-treatment/well-being.
  • Oversees and coordinates routine and administrative support services.
  • Works with students, faculty, and patients to schedule appointments.
  • Manages the patient recall system.
  • Collects fees for service and manages accounts.
  • Develops daily and weekly reports for the Associate Dean of Clinical Programs.
  • Manages part-time front desk assistant, including training, work allocation and problem resolution.
  • Coordinates compliance with state and local applicable regulations, policies, clinical standards, including but not limited to privacy requirements (HIPAA), quality assurance, safety and environmental protocols.
  • Oversees front office supplies and tracks expenditures.
  • Participates in the development of operational goals and budget objectives for the unit.
  • Recommends and implements procedures that enhance operations.
  • Responds to patient and student issues as necessary.
  • Performs other job-related duties as assigned.
