The Facilities Coordinator is a practical, operational role focused on maintaining the daily upkeep, safety, and functionality of designated facilities. This position involves collaboration with maintenance teams, contractors, and vendors, while also managing the Facilities Work Order/Ticketing System, conducting inspections, supporting preventative maintenance, organizing space arrangements, and ensuring excellent customer service. This is not a sedentary role; the selected candidate will lead by example and be actively involved in the day-to-day operations of the facilities.

Requirements

  • Associate degree or equivalent facilities, maintenance, office management, or property management experience.
  • Experience using a facilities ticketing/work order management system preferred.
  • Working knowledge of Microsoft Office; Oracle experience is a plus.
  • Strong customer service, communication, organization, and problem-solving skills.
  • Ability to perform hands-on operational work, including walking facilities, lifting up to 50 pounds, and assisting with building projects.

Responsibilities

  • Receive, prioritize, assign, monitor, and close work orders.
  • Maintain accurate ticket documentation, notes, invoices, and photographs.
  • Provide timely updates to requestors.
  • Escalate critical issues when appropriate.
  • Conduct daily building walkthroughs and inspections.
  • Work alongside maintenance staff during operational needs.
  • Assist with office moves, room setups, furniture reconfiguration, and minor operational projects.
  • Verify completed work before closing tickets.
  • Coordinate vendors, monitor work quality, ensure safety compliance and timely completion.
  • Serve as Deputy Fire Warden.
  • Support OSHA, fire safety, and emergency preparedness.
  • Provide responsive service to internal stakeholders and maintain professional communication.
