About The Position

The Facilities Coordinator is responsible for providing engineering and maintenance coordination support throughout the Lilly Medicine Foundry. The coordinator takes direction from FUME Team while also working closely with personnel from Engineering / Maintenance, Operations, Quality, TS/MS, GFD, and other organizations to ensure projects are coordinated and planned to meet safety and business needs. This position works closely with contract workforces including the Central Indiana Alliance. The coordinator is responsible for assisting Project Engineers delivering capital projects and executing work orders requiring outside contractors in support of GMP operations at Lilly Medicine Foundry facilities.

Requirements

  • High School Diploma required.
  • Prior experience in maintenance or manufacturing, including bulk manufacturing operations, utilities, or related functions.
  • Experience within a regulated industry environment, with a clear understanding of CGMP policies, guidelines, and compliance expectations.
  • Demonstrated proficiency in GMARS or a comparable computerized maintenance management system (CMMS).
  • Strong interpersonal and communication skills with a customer service orientation; ability to effectively coordinate activities within small groups.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-changing environment and work both independently and collaboratively.
  • Basic computer proficiency with the ability to learn new systems and applications (e.g., MS Word, MS Excel, EDMS, QualityDocs).
  • Commitment to maintaining a safe work environment in alignment with all HSE corporate and site goals.

Responsibilities

  • Oversees contractor resources required for project and maintenance work orders by tracking and managing contractor estimates and work.
  • Tracks and manages contractor estimates to provide accountability for financial performance of CIA personnel for project and maintenance work.
  • Provides an interface with Lilly engineering groups, contractors, Lilly Life Safety, A&E firms, Central Indiana Alliance, and vendors.
  • Approves work order charges and ensures closure on completed GMARS maintenance work orders.
  • Performs landlord duties to provide clean, safe, and well-maintained facilities.
  • Ensures all contractors that perform work within the Lilly Medicine Foundry have completed all necessary training.
  • Performs project management on small capital or maintenance projects.
  • Ensures Lilly Medicine Foundry Housekeeping procedure is properly executed by the contractor and that the facility is always inspection ready.
  • Executes Change Control steps within TrackWise to document completion of project activities.
  • Places HOLDs and/or creates Maintenance Action Plans (MAP) on facility and/or utilities to support project activities.
  • Effectively communicates with all levels of personnel on projects as well as maintenance and repair activities.
  • Ensures safety for all personnel (including contract employees) involved with projects including Safe to Work Permits, Fire Cards, Confined Space Permits, etc.
  • Oversees projects and external workforce to ensure all Lilly specifications, standards, and procedures are being met for projects and maintenance work orders.
  • Understands the facility requirements for production and administrative support.
  • Reviews and processes contractor invoices and work orders for accuracy.
  • Manages contractor project and work order expenses to meet business needs / cost.
  • Estimates expenses and ensures charges do not exceed agreed upon cost.
  • Authorizes contractor work plans and schedules to meet business needs.
  • Provides contractor and vendor coordination.
  • Plans and executes small projects, including making necessary purchases.
