About The Position

The CAR Group is seeking an Executive Assistant to the CEO who will act as a strategic partner, supporting the CEO's time management, information flow, and decision-making across the enterprise. This high-trust, high-visibility role requires exceptional professionalism, poise, independence, discretion, and the ability to anticipate needs and solve problems proactively. The Executive Assistant will manage the CEO's calendar and communications, coordinate travel, prepare information for decision-making, support meetings, and manage delegated projects through completion. The role also includes maintaining project boards and CRM workflows, coordinating with Legal and IT on AI and automation tools, and providing some personal and household coordination for the CEO. This is a full-time, on-site position at 8235 Douglas Ave, Suite 1200, Dallas, Texas. The work environment is described as quiet, focused, and professional, with a small, senior, task-oriented team. The role is suited to someone who values autonomy and can thrive without a highly collaborative or social office environment.

  • Comfortable working in the office five days a week.
  • Extremely professional and well-spoken, with the ability to represent the CEO and company well.

  • Driven and motivated, with a genuine appetite for learning and growth.
  • Able to remain logical and level-headed under pressure when priorities change or plans go awry.
  • Skilled at managing multiple moving pieces and pivoting quickly without losing quality or composure.
  • A proactive problem solver who brings solutions rather than only flagging issues.
  • Discreet and able to exercise sound judgment when handling sensitive and confidential information.

Responsibilities

  • Prepare for meetings and follow up, including attending or shadowing meetings on the CEO's behalf and summarizing key information.
  • Coordinate cross-functional communication among the executive team, operational managers, and outside vendors.
  • Manage initiatives delegated by the CEO and see them through to completion.
  • Maintain the CEO's office environment and workflow to support a smooth, friction-free day.
  • Maintain Asana project boards and promote effective CRM use to track projects, tasks, and travel logistics.
  • Evaluate and integrate AI and automation tools in coordination with the Legal and IT teams.
  • Provide personal support and coordination, including the CEO's personal calendar, occasional family and household logistics, and liaison with outside contacts such as YPO members.
