The Executive Assistant provides administration support for the Chief Executive Officer of the organization. The Executive Assistant organizes the CEO’s daily calendar, including scheduling meetings, confirming appointments, answering calls and email correspondence. Supports the annual events for ACC. Provides day to day support as requested by CEO. Provide administrative support for the Executive to ensure the Executive can efficiently accomplish key tasks and organization initiatives. Keep the executive’s communications organized so Executive can easily access the most important information without having to sort through low priority items. Writing and editing emails, drafting memos and preparing communications on the executive’s behalf. Performing minor accounting duties Organizing meetings, including scheduling, sending reminders and organizing catering when necessary. Answering and returning phone calls in a polite and professional manner. Complete registrations to attend conferences and presentations for Executive(s) and department(s) as requested. Handling of all details relating to conferences or off-site meetings. Maintain confidential and sensitive information. Attend meetings and take notes of discussion; prepare initial draft of minutes and summaries. Complete a variety of special projects including creating PowerPoint Presentations, financial spreadsheets, special reports and agenda material. Manage Executives daily calendar, including scheduling meetings, confirming appointments, writing itineraries and arranging for transportation Schedule departmental or director meetings, assist in preparation and distribution of meeting agendas and materials as needed by the Executive. Prioritizing the most sensitive matters as set by the Executive. Filter and attend to the day-to-day functions that are part of the executive’s role so that the executive can focus on high level leadership and strategy functions Determine priority of matters of attention for the CEO; redirect matters to staff to handle, or handle matters personally as appropriate. Compose and prepare letters relating to routine correspondence for the CEO’s signature. Serve as liaison between the CEO, ACC staff and the public. This includes receiving and screening the CEO’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages and directing calls appropriately for resolution. Other additional and/or alternatives duties as assigned from time to time, including supporting other departments or Executives as needed.
