Requirements

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • Minimum of 5 years of executive administrative support experience.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Exceptional organizational and multitasking skills with a keen attention to detail.
  • Excellent verbal and written communication skills, with the ability to interact professionally with stakeholders at all levels.
  • Strong interpersonal skills and the ability to work collaboratively within a team.
  • High level of integrity and professionalism.

Responsibilities

  • Calendar Management: Maintain and manage complex executive calendars, scheduling appointments, meetings, and travel arrangements with precision.
  • Communication Liaison: Act as a primary point of contact between executives and internal/external stakeholders, managing inquiries and correspondence effectively.
  • Agenda Preparation: Prepare agendas, materials, and presentations for meetings; take minutes and follow up on action items.
  • Logistics Management: Coordinate meeting logistics, including venue arrangements, catering, and technology setup.
  • Task Coordination: Assist in managing projects and initiatives, tracking deadlines and deliverables to ensure timely completion.
  • Research Support: Conduct research and compile data for reports, presentations, and executive decision-making.
  • Report Preparation: Draft, edit, and finalize correspondence, reports, and presentations, ensuring accuracy and professionalism.
  • Filing and Organization: Maintain organized electronic and physical filing systems for easy access to important documents.
  • Expense Tracking: Manage executive expense reports and budget tracking, ensuring compliance with organizational policies.
  • Financial Reporting: Assist in the preparation of financial reports and documentation for executive review.
  • Information Management: Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Policy Adherence: Ensure adherence to company policies and procedures related to administrative functions.
