Executive Assistant, Supply Chain Leadership provides high-level administrative and organizational support to the VP, AI Infrastructure Supply Chain and the VP, Data Center Equipment Procurement. This role manages complex calendars, meetings, and travel across both leaders’ organizations, drafts and coordinates correspondence and materials, and serves as a trusted point of contact for cross-functional partners. Reporting to the VP, AI Infrastructure Supply Chain, this role requires sound judgment, discretion, and the ability to manage competing priorities across two fast-moving organizations.

Requirements

  • Bachelor’s degree preferred; equivalent experience providing executive-level administrative support will be considered.
  • 8+ years of experience providing executive-level administrative support, ideally supporting VP-level or above leaders at a hyperscaler, cloud provider, or technology company.
  • 2+ years of office management, workplace operations, or facilities coordination experience; direct experience opening, relocating, or expanding an office is strongly preferred.
  • Demonstrated ability to manage a complex, high-volume calendar and competing priorities across multiple time zones, reprioritizing in real time as needs shift.
  • Experience coordinating detailed domestic and international travel itineraries, including contingency planning for schedule changes.
  • Strong written and verbal communication skills, with experience drafting correspondence, presentations, and briefing materials on behalf of senior leaders.
  • Comfortable interfacing directly with external stakeholders, including C-suite executives at supplier and vendor organizations, to schedule and coordinate meetings and business reviews.
  • Experience sourcing and managing office vendors and service providers (e.g., facilities, IT/AV, food and beverage, janitorial, security, mail and shipping), including obtaining quotes and coordinating contracts with Procurement and Legal.
  • Working knowledge of workplace safety, building access and security, and visitor-management practices; familiarity with space planning and seating for a hybrid workforce is a plus.
  • High degree of discretion, sound judgment, and professionalism in handling confidential and sensitive business information.
  • Proficiency with standard productivity, collaboration, and expense-management tools (e.g., Microsoft Office, calendar systems, expense platforms) and comfort adopting workplace tools such as visitor, ticketing, and room-booking systems.
  • Self-starter who is comfortable building processes from scratch with limited structure, and who has the flexibility and composure to operate in a fast-paced, high-growth environment.
  • Pre-employment screening, including background check and substance testing may be required according to company policies.
  • Must be able to reliably commute to the Santa Clara office on scheduled in-office days under the hybrid work arrangement. Because this role manages the office, a higher on-site presence than the standard hybrid schedule is expected, particularly during office setup and move-in.
  • This role may involve occasional travel to support leadership offsites, business reviews, or industry events, and may require occasional early-morning or after-hours availability to support office buildout activities, vendor work, and events.
  • IREN does not yet have an office in the Bay Area (a Santa Clara office is planned). Until it opens, this role will work remotely and travel locally to the site as needed to support setup, transitioning to hybrid on-site work once the office is established.

Responsibilities

  • Manage a complex, high-volume calendar and scheduling for the VP, AI Infrastructure Supply Chain, resolving conflicts and reprioritizing in real time.
  • Coordinate all domestic and international travel arrangements, including itineraries, visas, and contingency planning for schedule changes.
  • Prepare, submit, and reconcile expense reports in accordance with company policy.
  • Draft, proofread, and manage correspondence, presentations, and briefing materials on behalf of the VP.
  • Plan and coordinate leadership team meetings, staff meetings, offsites, and business reviews (e.g., MBRs/QBRs), including agenda development, materials preparation, and notetaking.
  • Serve as a liaison between the Supply Chain organization and cross-functional partners, including Legal, Finance, HR, and other executive offices, ensuring timely follow-through on action items.
  • Interface directly with external suppliers and vendors, including their C-suite executives, to schedule and coordinate meetings, briefings, and business reviews on behalf of the VP.
  • Maintain organizational documents, distribution lists, and org charts for the Supply Chain organization, and support onboarding logistics for new hires.
  • Handle highly confidential and sensitive business information with sound judgment and discretion.
  • Support special projects and ad hoc initiatives for the VP as priorities evolve.
  • Build strong working relationships with other Executive Assistants and administrative staff across the company to enable smooth cross-functional coordination.
  • Anticipate the needs of the VP, proactively identifying and resolving issues before they escalate, and continuously improving processes that support the leadership team.
  • Partner with Supply Chain leadership, Real Estate/Facilities, IT, Security, and the landlord or building management to stand up IREN’s Santa Clara office, coordinating buildout milestones, furniture, space planning and seating, IT/AV and network readiness, access control, signage, and move-in logistics.
  • Onboard, and manage office vendors and service providers (e.g., janitorial, food and beverage, office supplies, mail and shipping, maintenance, plants and décor), including gathering quotes and coordinating contracts with support from Procurement and Legal.
  • Own day-to-day office operations once open: supplies and inventory, mail and deliveries, conference rooms and room-booking, visitor and guest management, workplace requests, and general upkeep, serving as the primary point of contact for building management.
  • Develop and manage the office operating budget; track spend against plan and identify cost-saving opportunities.
  • Establish and document office policies and procedures—including visitor and access protocols, hybrid space usage, and emergency and safety procedures—and serve as the site’s safety and emergency coordinator.
  • Coordinate onsite events, all-hands, team gatherings, and executive, customer, and supplier visits, including catering, room setup, and hospitality.
  • Coordinate site onboarding for new hires and transferring employees (workstations, badges, and equipment in partnership with IT and HR) and maintain seating plans as the office grows.
  • Foster a welcoming, well-run, and professional workplace that reflects IREN’s culture, gathering feedback from teams on site and continuously improving the office experience.
