About The Position

Citizen Health is seeking an Executive Assistant & Office Operations Manager to support its CEO and CBO directly, manage the San Francisco office, oversee end-to-end recruiting coordination, and handle ad hoc business operations. This role offers broad scope, real ownership, and a close-up view of an early-stage company's operations. The individual will act as the connective tissue between the founders and others, managing schedules, communications, and operational tasks with a high degree of autonomy and discretion. The position is based in San Francisco with regular in-office presence and reports to the CEO, working closely with both co-founders.

Requirements

  • 4+ years of experience in executive support, office management, operations, or a comparable role.
  • At least 2 years of direct experience supporting C-level executives or founders.
  • Demonstrated experience managing complex calendars, travel, and external scheduling across multiple time zones and stakeholder types.
  • Experience coordinating recruiting logistics, including interview scheduling, panel management, and candidate communication, for a company actively hiring across multiple roles.
  • Proven track record of running an office or facilities function, including vendor management, budget management, inventory control, and IT/equipment coordination.
  • Exceptional written and verbal communication skills.
  • Proven discretion in handling confidential compensation, personnel, and business information.
  • Fluency with Google Workspace, Slack, Notion, an ATS, and expense/travel tools.
  • Ability to quickly learn new software.
  • Based in the San Francisco Bay Area.
  • Able to be in the office 3 days a week (Tuesday/Wednesday/Thursday).

Nice To Haves

  • Experience at a venture-backed startup between Seed and Series B, with broad operations ownership.
  • Exposure to HR administration or people operations (onboarding, headcount tracking, benefits coordination, HRIS tools).
  • Experience supporting board meetings, investor relations, or fundraising logistics.
  • Experience planning offsites and team events for distributed teams.
  • Comfort with light data work (building trackers, headcount reports, simple dashboards in Sheets).
  • Interest in healthcare, life sciences, or mission-driven companies.
  • Familiarity with the rare disease community.

Responsibilities

  • Provide executive support for the CEO and CBO, including managing calendars, scheduling external meetings, coordinating travel, preparing meeting materials, tracking action items, and managing expense reports.
  • Triage inbound requests and protect founder time by resolving issues independently or escalating as needed.
  • Coordinate logistics for board meetings, investor updates, and leadership offsites.
  • Manage the day-to-day operations of the San Francisco office, including vendor relationships, contract management, inventory, and IT/workstation setup.
  • Serve as the primary point of contact for facilities issues and building management.
  • Coordinate all candidate interviews and onsite interviews, manage interviewer panels, and ensure a positive candidate experience.
  • Maintain candidate records and update the Applicant Tracking System (ATS).
  • Own and maintain the company-wide onboarding playbook and manage the monthly headcount report.
  • Support onboarding documentation and other HR administration tasks.
  • Plan and execute team events, all-hands meetings, offsites, and celebrations to foster team culture.
  • Undertake ad hoc business operations projects, including vendor and tool procurement, contract tracking, process documentation, and internal tooling setup.
