About The Position

Performs administrative duties and office support activities for an officer of Cummins. This role involves understanding the annual business cycle, managing the executive's calendar, scheduling meetings and travel, and completing expense reports. The specialist will interact with senior leaders of Cummins’ customers and suppliers, research solutions, and respond to inquiries independently. They will manage the executive's email and correspondence, develop an understanding of the executive’s work style, and ensure all documents produced are of the highest quality. The role also includes gathering data for reports, preparing analyses, interacting effectively with all levels of employees, and ensuring timely business decisions. Additionally, the specialist will schedule staff meetings, develop agendas, and ensure follow-up actions are completed. Responsibilities extend to preparing documentation for payments, submitting requests into the accounting system, approving transactions, and working with the finance team on financial reports. The role also involves initiating and participating in improvement processes, maintaining a strong network across departments, and demonstrating the highest level of confidentiality. Travel may be required.

Requirements

  • High school diploma, GED or equivalent required.
  • Must pass typing and other required testing.
  • Bachelors degree and at least four years of relevant experience, associates degree and at least six years of relevant experience, or at least eight years of relevant experience required.
  • Strong organizational and prioritization skills with the ability to manage multiple high-priority tasks in a fast-paced, executive environment.
  • Advanced communication and interpersonal skills, including the ability to interact professionally with senior leaders and maintain confidentiality.
  • Proficiency in Microsoft 365 tools (Outlook, PowerPoint, Excel, Teams) with demonstrated ability to create executive-ready materials.
  • Relevant administrative or business support experience (typically 3–5+ years supporting senior leaders or equivalent roles).

Nice To Haves

  • Administrative Assistant and/or Microsoft Office certifications preferred.
  • Three to five years of executive administrative assistant experience preferred.
  • Experience supporting senior executive roles in a large, matrixed organization.
  • Exposure to project coordination or basic business operations (e.g., tracking deliverables, supporting leadership initiatives).

Responsibilities

  • Manages the executive’s calendar, schedules meetings, calls, and other interactions based on priorities.
  • Schedules travel and completes expense reports.
  • Interacts and works successfully with senior leaders of Cummins’ customers and suppliers.
  • Researches solutions to questions and responds independently to email and phone inquiries.
  • Manages the executive’s email and other correspondence, responding on behalf of the executive where appropriate, forwarding communications, or bringing matters to the executive’s attention.
  • Develops an understanding of the executive’s work style and preferences and assumes responsibilities as requested.
  • Ensures that all documents produced for the executive are of the highest quality, accuracy, and completeness.
  • Gathers data for reports and analysis and prepares reports and analyses to assist the executive with decision making.
  • Interacts effectively with all levels of employees throughout the company.
  • Works with the executive’s staff to ensure business decisions are made in a timely fashion.
  • Schedules staff meetings, arranges meeting space or virtual meeting tools, develops staff meeting agendas, and ensures participants are prepared.
  • Ensures that any follow-up actions resulting from the meeting are documented and completed.
  • Prepares documentation for payment of vendors, consultants, and suppliers.
  • Submits documentation and enters requests for payments into the accounting system.
  • Approves transactions and responds to inquiries from accounts payable and payees.
  • May approve staff expense reports and other payment requests.
  • Works with the finance team to prepare and run financial reports for the executive.
  • Initiates, develops, leads, and participates in improvement processes.
  • Actively participates in self- and team audits and resulting process improvements.
  • Understands the structure of the organization and maintains a strong network across departments.
  • Draws on network to answer questions, solve problems, and successfully execute responsibilities.
  • Demonstrates the highest level of confidentiality in execution of all responsibilities.
  • Performs other duties as required.
  • Travel as required by the work.
  • Provides executive-level administrative support to the officer, including managing complex calendars, prioritizing competing demands, coordinating travel, and ensuring effective time management and meeting preparation.
  • Prepares and coordinates high-quality materials (presentations, reports, communications) for leadership meetings, board interactions, and cross-functional forums, often requiring discretion and synthesis of inputs.
  • Serves as a key liaison and coordination point across internal teams and external stakeholders, facilitating communication flow, tracking actions, and ensuring follow-through on priorities and commitments.
  • Support the Strategic Execution Office.
