About The Position

The Event Program Coordinator, Executive Education, will manage the logistics for the full event lifecycle, including pre, post, and on-site coordination. This role requires the ability to easily pivot between tasks for planning both on-site and live online program deliveries. Responsibilities include organizing catering for on-site programs, arranging external vendors and negotiating contracts, managing technical aspects of online deliveries, balancing requirements for multiple programs, participating in cross-functional teams, communicating with participants and clients, supporting faculty, maintaining program website information, utilizing databases and learning management systems, collaborating on budget development, forecasting expenses, and reconciling budgets post-program.

Requirements

  • Bachelor's degree
  • A minimum of two years of administrative and/or project/program management experience
  • Ability to provide excellent customer service
  • Ability to lead and deliver complex and challenging programs
  • Ability to build relationships and respond to the needs of clients/customers, faculty, and program director
  • Ability to multitask and work effectively in a pressured work environment with changing priorities and limited supervision

Nice To Haves

  • Three years of business experience, preferably in executive education or a business requiring comparable skills
  • Experience in program, event, or project management in both live online and in-person settings
  • Familiarity with MIT Sloan and MIT faculty

Responsibilities

  • Manage logistics including pre, post, and on-site coordination of full event lifecycle
  • Pivot easily between the different tasks required for planning on-site and live online program deliveries
  • Organize catering needs for on-site programs including dinners and receptions
  • Arrange external program vendors and negotiate all contracts and pricing
  • Manage all technical aspects of live online program deliveries including participant troubleshooting, faculty training, platform exploration, and video editing
  • Balance the requirements of numerous programs in varied stages of planning and with overlapping schedules and deadlines
  • Participate in cross-functional project teams and proactively engages in continuous improvement of program operations
  • Communicate with participants and clients in addition to providing a high level of support for all program faculty
  • Collect, upload, and maintain all program website information and materials
  • Use complex databases and learning management systems to ensure a superior customer experience
  • Collaborate on the development and management of the program budget
  • Forecast all projected program expenses as related to logistics
  • Reconcile and balance budget post program
